Job Overview: The Logistics Assistant position at WFP involves implementing standard and well-defined activities and processes related to supply chain and logistics to enable the effective delivery of goods and services across all delivery modalities. The role is crucial in supporting logistics operations and activities, ensuring timely delivery of products and supplies to partners and authorized destinations. The Logistics Assistant will contribute to the management of logistics activities, including supplier contracting, inventory management, and quality assurance of data related to product accounting. Duties and Responsibilities:
Support logistics operations and activities by applying standard processes and facilitating the effective delivery of food assistance to beneficiaries.
Ensure timely processing of orders and deliveries of products and supplies to partners and authorized destinations.
Assist in managing logistics activities related to supplier contracting, including tracking and measuring performance.
Respond to a variety of technical support inquiries and requests, applying standard processes and seeking guidance when necessary to ensure timely and accurate resolution of all inquiries with a strong customer service orientation.
Contribute to the preparation, monitoring, and review of budgets for all delivery modalities, ensuring adherence to relevant procedures and institutional standards.
Assist in tracking inventory management processes to monitor trends and account for inventory status from the source of supply to the beneficiary.
Support the quality and integrity management of data related to product accounting.
Assist in supply chain analysis, pre-assessments, and operational planning for all delivery modalities.
Process documentation for logistics operations (e.g., customs clearance, invoice verification) and take appropriate actions to resolve operational issues, referring various matters to the supervisor. 1
Collect and compile data, produce reports or contribute to their preparation (e.g., reports for the Commodity, Transport, and Insurance Committee (CCTI), standardized project reports, financial closure reports, physical inventories, or transport performance reports) and ensure the accuracy of information contained in institutional systems to support informed decision-making. 1
Maintain contact with internal stakeholders and a limited number of external stakeholders to sustain efficient logistics operations management. 1
Provide guidance to other support staff to help them carry out standard tasks in accordance with agreed standards and timelines.
Required Qualifications: Minimum standard qualifications required for this position include the completion of secondary education. A certificate in a relevant field of study beyond secondary education is desirable. Candidates should possess five or more years of experience in the relevant functional area. The role requires fluency in Spanish, with English being desirable. Candidates should demonstrate experience in using institutional systems to track ongoing shipments, supply chain information, insurance claims, and food stocks. Additionally, experience in data analysis and report writing, measuring service provider performance using established key performance indicators, and assisting in contract documentation preparation is preferred. Experience in providing technical operational support in institutional systems and familiarity with systems such as WINGS (SAP) is also advantageous.
Educational Background: Candidates must have completed their secondary education. A certificate of education beyond this level in a relevant functional area is considered an asset. This educational background is essential to ensure that candidates possess the foundational knowledge required for the logistics and supply chain functions they will be performing.
Experience: The position requires a minimum of five years of relevant experience in logistics, supply chain management, or a related field. This level of experience is necessary to ensure that candidates are well-versed in the complexities of logistics operations and can effectively support the various functions required in this role. Candidates should have a proven track record of working in similar environments and demonstrate their ability to handle logistics challenges effectively.
Languages: Fluency in Spanish is mandatory for this position, as it is the primary language of communication within the organization and with local stakeholders.
