Job Overview: The Management Services Assistant (Assets) position is designed to support the effective day-to-day delivery of specialized, client-focused, and value-for-money services related to the Management Services portfolio. This role involves a variety of tasks aimed at ensuring the smooth operation of asset management within the organization. The assistant will be responsible for collating and processing information, managing records, conducting research, and serving as a point of contact for internal queries. The position requires a proactive approach to problem-solving and collaboration with both internal and external stakeholders to address asset-related issues. The assistant will also maintain the office inventory database, monitor the movement of office equipment, and ensure compliance with WFP rules and regulations. This role is crucial for the effective management of resources and contributes to the overall mission of WFP by ensuring that assets are utilized efficiently and responsibly.
Duties and Responsibilities: The duties and responsibilities of the Management Services Assistant (Assets) include, but are not limited to: collating and processing information to support the production of standard documents and reports; managing and maintaining both paper and electronic records in accordance with established procedures; conducting research and performing basic analyses of data to provide accurate information; serving as the first point of contact for internal queries; providing inputs to improve routine methods and practices; collaborating with stakeholders to address asset-related queries; maintaining the office inventory database (Global Equipment Management system, GEMS) and ensuring accurate labeling and recording of equipment; monitoring the movement of office equipment and maintaining records; ensuring data integrity in the database; reporting lost, damaged, or unserviceable property; assisting with the management of administrative non-food items (NFIs); promoting environmental sustainability; and managing insurance coverage for all WFP assets.
Required Qualifications: The position requires the completion of secondary school education, with a post-secondary certificate in a related functional area being desirable. Candidates should possess a strong understanding of WFP Management Services regulations, policies, procedures, processes, standards, and systems. Additionally, experience in collating data and preparing basic analyses related to asset management, facilities, fleet, or travel is essential. The ability to provide advice and guidance to staff and experience working collaboratively with teams across different functional areas are also important qualifications for this role.
Educational Background: Candidates must have completed secondary school education. A post-secondary certificate in a relevant field is considered desirable, as it demonstrates a foundational understanding of the functional area related to management services and asset management.
Experience: The position requires a minimum of 5 years of related job experience. This experience should include a demonstrated understanding of WFP Management Services regulations and the ability to collate data and prepare analyses related to asset management. Candidates should have experience supporting staff and working collaboratively across different functional areas, showcasing their ability to contribute effectively to the team.
Languages: Fluency in English (level C) is mandatory for this position. Depending on the location of the post, fluency or intermediate knowledge of another official UN language may also be required. For field positions, fluency in both oral and written communication in the UN language in use at the duty station and in the local language, if different, is essential.
Additional Notes: The contract type for this position is Fixed Time, with a duration of 12 months. The position is based in Addis Ababa, Ethiopia, and is classified at the G5 grade level.
