Job Overview: The Admin Assistant (Protocol) position is designed to support the effective delivery of specialized, client-focused, and value-for-money services within the Management Services portfolio of WFP. The role involves a variety of administrative tasks that require a good understanding of standard guidelines and practices. The job holder will be expected to take responsibility for completing a range of tasks, recommend courses of action to staff at various levels, and may allocate tasks to other support staff. This position is crucial for ensuring that the administrative functions of the organization run smoothly and efficiently, contributing to the overall mission of WFP. The Admin Assistant will work closely with various departments and external partners to facilitate effective service delivery and support the management of resources.
Duties and Responsibilities:
Perform tasks and activities within the Management Services portfolio to support efficient and high-quality service delivery.
Collate data and prepare basic analysis to assist with the creation of reports, contributing to the efficient management of resources.
Process routine actions related to procurement, human resources, facility management, and other relevant areas to ensure timely and accurate data recording in corporate systems.
Manage and maintain physical and digital records in accordance with established procedures to ensure swift and easy data access.
Provide timely and accurate responses to facilitate the efficient resolution of daily issues.
Utilize digital tools and technology applications to improve working practices and customer service.
Liaise with other functions and third-party contractors to enable efficient service delivery.
Provide advice and guidance to junior staff in performing their duties.
Support the preparation and submission of requests to the Ministry of Foreign Affairs (MOFA) and other relevant Iraqi authorities for visas, residencies, ID cards, protocol notes, customs clearances, and related services. 1
Facilitate customs clearance requests for WFP shipments, pouches, and staff personal effects. 1
Perform any other related duties in support of administrative services as required.
Required Qualifications: The position requires completion of secondary school education, with a post-secondary certificate in a related functional area being desirable. Candidates should possess at least five years of relevant experience in administration or liaison with government institutions. Experience with UN agencies or international organizations is considered an asset. The role demands a strong understanding of administrative procedures, excellent organizational skills, and attention to detail. Proficiency in MS Office applications (Word, Excel, Outlook) is essential, along with the ability to maintain databases and trackers.
Educational Background: Candidates must have completed secondary school education. A post-secondary certificate in a related functional area is desirable, indicating a level of specialized training or education that supports the administrative functions of the role.
