Job Overview:
The OIM and Reporting Assistant position at WFP is crucial for supporting the consolidation and presentation of program results, thereby enhancing operational information management and performance reporting. This role is designed to ensure that the Country Office adheres to WFP’s reporting standards while producing high-quality reports, briefs, and visual materials that accurately reflect program achievements. The assistant will work closely with the Head of Partnerships, Reporting & Communications Unit, and collaborate with various units and sub-offices to ensure that all reporting aligns with donor requirements and the country’s communications strategy. The position requires a proactive approach to data management and reporting, ensuring that information is accurate, timely, and effectively communicated to stakeholders. The assistant will also play a key role in maintaining reporting dashboards and databases, which are essential for informed decision-making within the organization.

Duties and Responsibilities:
The OIM and Reporting Assistant will have a diverse set of responsibilities, including:
  • Supporting staff in applying standard Operational Information Management (OIM) and Performance Reporting procedures and templates to ensure consistency and quality in data collection and reporting across the Country Office.
  • Compiling operational data from various teams, including program, logistics, and field teams, to maintain accurate reporting.
  • Maintaining and updating reporting dashboards, trackers, and databases to reflect real-time data.
  • Assisting in the preparation of various reports, including Situation Reports (SITREPs), monthly Country Briefs, Annual Country Reports (ACRs), donor reports, and activity leaflets.
  • Drafting donor reports, situation updates, and internal briefs, ensuring that all documentation is of high quality.
  • Preparing visual content such as infographics, charts, and presentations to complement narrative reports.
  • Contributing to the development of standardized templates and reporting formats for consistency across the organization.
  • Supporting the Communications and Partnerships team in drafting talking points, briefing kits, and funding proposals in coordination with relevant units and field offices.
  • Ensuring accurate and consistent records of key meetings and drafting high-quality summaries and reports of discussions and decisions. 1
  • Monitoring regular sources of information, including NGOs, media, surveys, and field reports, to inform senior management decision-making. 1
  • Collating and disseminating political and humanitarian analysis relevant to WFP operations and donor trends. 1
  • Ensuring proper archiving of reports, visibility materials, and photographs for future reference. 1
  • Liaising with internal counterparts and UN agencies to ensure consistency in humanitarian information and complement WFP analysis. 1

Required Qualifications:
Candidates must possess a Baccalauréat or equivalent level of education. A university degree or 'Licence professionnelle' in fields such as Information Management, Journalism, International Development, International Relations, Political Science, Economics, Social Sciences, or Communication is considered an asset. The role requires strong writing and editing skills in both English and French, as well as proficiency in MS Office, particularly Excel and PowerPoint. Familiarity with data visualization tools such as Power BI and Canva is advantageous.
