Job Overview: The Programme Assistant plays a crucial role in supporting the operational, technical, and programming activities of UNFPA. This position involves providing administrative and logistical support, conducting research, and performing data analysis within a systems strengthening framework that aligns with UNFPA's strategic objectives. The Programme Assistant will collaborate closely with the UNFPA team in Quetta and other programme support staff to ensure effective implementation of the Country Programme. The role requires maintaining project files, preparing presentations, organizing meetings, and supporting procurement activities, all while adhering to UNFPA's guidelines and regulations. The Programme Assistant is expected to contribute to the overall success of the programme by ensuring that all operational aspects are managed efficiently and effectively.
Duties and Responsibilities: The Programme Assistant is responsible for a variety of tasks, including but not limited to: maintaining and updating country programme documents, partner files, and project progress reports; assembling briefing materials and preparing presentations; organizing and processing information from various stakeholders; assisting in archiving and maintaining electronic mailing lists; recording and distributing meeting minutes; organizing workshops and inter-agency meetings; providing information for travel authorizations; supporting procurement activities; producing monthly financial reports; applying UNFPA rules and regulations; acting as a FACE manager for provincial partners; serving as a back-up for other Programme Assistants; and performing any additional duties as required by UNFPA leadership.
Required Qualifications: Candidates for the Programme Assistant position should possess strong organizational skills, attention to detail, and the ability to work collaboratively in a team environment. Proficiency in administrative tasks, data management, and financial reporting is essential. The ideal candidate should demonstrate adaptability, creativity, and professionalism, with a commitment to UNFPA's mission and values. Familiarity with UNFPA's operational procedures and experience in a similar role would be advantageous.
Educational Background: A minimum of a bachelor's degree in a relevant field such as social sciences, public administration, or a related discipline is required for this position. Additional certifications or training in project management, data analysis, or financial management would be beneficial and enhance the candidate's qualifications.
Experience: Candidates should have at least 1-2 years of relevant experience in administrative support, project management, or a related field. Experience working with international organizations or in the non-profit sector is highly desirable. Familiarity with UNFPA's mission and objectives, as well as experience in the areas of sexual and reproductive health, gender equality, or youth empowerment, will be considered an asset.
Languages: Fluency in English is mandatory, both written and spoken. Proficiency in Urdu or other local languages is highly desirable, as it will facilitate communication with local stakeholders and enhance the effectiveness of the Programme Assistant's role.
Additional Notes: This position is a national UNV assignment, meaning that the selected candidate will be responsible for arranging their own housing and living essentials. A Volunteer Living Allowance (VLA) of PKR 131,371 will be provided monthly to cover housing, utilities, and living expenses. The assignment includes life health and permanent disability insurance, health insurance for up to three dependents, and a resettlement allowance for satisfactory service. The Programme Assistant will also have the opportunity to gain valuable experience working within the UN system and contributing to important development goals.
