Job Overview:
The Logistics Senior Assistant will play a vital role in supporting the effective coordination and delivery of project supplies and equipment for a large-scale procurement project in Jordan. This project aims to enhance health outcomes, improve educational results, and protect heritage sites. The incumbent will work under the direct supervision of the Senior Project Manager and will be responsible for overseeing logistical planning, inventory management, documentation, and compliance across various sites, including schools, hospitals, and government facilities. The position requires a proactive approach to ensure that all logistical operations align with UNOPS and USAID standards, contributing to the successful implementation of the Equipment for Jordan (E4J) Activity.

Duties and Responsibilities:
  • Logistical Coordination: Support the delivery, transportation, storage, and distribution of project equipment and supplies. Facilitate logistical arrangements for installation and handover activities, ensuring smooth coordination with project teams and vendors. Manage transportation arrangements, including route planning and vehicle scheduling.
  • Inventory and Asset Management: Maintain accurate records of all incoming and outgoing equipment and materials. Conduct periodic physical inventory checks and assist in tracking the movement and disposal of assets.
  • Documentation and Reporting: Prepare and maintain logistics-related documentation, including inventory records and shipping documentation. Update and monitor logistics tracking tools for accurate reporting.
  • Customs Clearance and Tax Exemption Support: Liaise with suppliers and customs authorities to facilitate the clearance process for imported goods.
  • Fleet and Fuel Management: Coordinate vehicle allocation and monitor vehicle usage and maintenance schedules.
  • Travel, Visa, and Protocol Support: Assist in processing visa applications and travel authorizations for staff and consultants.
  • Vendor and Service Provider Management: Liaise with third-party service providers and support procurement processes.
  • Knowledge Management and SOP Development: Contribute to the development of Standard Operating Procedures for logistics and asset management functions.

Required Qualifications:
Completion of secondary school is required, with a bachelor's degree being a substitute for some required experience. A minimum of five years of experience in general administration, supply chain management, logistics, and/or asset management is required. Experience in handling web-based management systems and working in an international organization is desirable. Familiarity with Enterprise systems is also a plus.

Completion of secondary school is required. A bachelor's degree may substitute for some of the required years of experience, providing a pathway for candidates with higher education to qualify for the position.

Experience:
The position requires a minimum of five years of relevant experience in general administration, supply chain management, logistics, and/or asset management. Candidates should also have experience with computers and web-based management systems, with experience in international organizations being desirable.

Languages:
Fluency in English and Arabic (speaking, reading, and writing) is required for this position, ensuring effective communication in a bilingual environment.

Additional Notes:
The contract type is a Local Individual Contractual Agreement at level LICA 5, with an open-ended duration subject to organizational requirements, availability of funds, and satisfactory performance.
