Job Overview: The Programme Support Unit Coordinator position involves supporting the coordination and implementation of the Mission’s Programme Support processes. This includes project development, donor reporting, compliance with IOM rules and regulations, and preparation of materials for resource mobilization. The incumbent will work under the supervision of the Chief of Mission and the Programme Support Unit Coordinator, contributing to the overall direction of the Programme Support Unit. Responsibilities include identifying and assessing new programme opportunities, developing thematic fundraising strategies, and ensuring compliance with donor interests and IOM procedures. The role requires collaboration with various stakeholders, including government counterparts, public and private institutions, and UN agencies, to develop and submit projects that align with emerging trends and priorities.
Duties and Responsibilities: The incumbent will be responsible for a wide range of duties, including but not limited to:
Supporting the Programme Support Unit in identifying, assessing, and coordinating the design and development of new programme opportunities.
Compiling and analyzing information on strategic migration-related initiatives and donor policies to inform fundraising efforts.
Drafting and submitting new project proposals in compliance with donor requirements.
Managing donor contracts, including administrative and budgetary aspects of projects.
Consolidating and analyzing data on programme implementation and preparing regular progress reports for donors and partners.
Maintaining contact with donor relations counterparts and organizing meetings and field visits.
Contributing to the development and training of staff within the unit.
Drafting talking points and briefing notes for senior management and programme teams. 1
Performing any other duties as assigned by the supervisor.
Required Qualifications: Candidates must possess a Bachelor’s degree from an accredited institution in Social Science, Public Relations, Economics, Development Studies, International Relations, or other relevant disciplines, along with two years of work experience. Alternatively, a Master’s degree in the aforementioned fields is acceptable. The position requires a strong background in project development and management, excellent writing and communication skills, and the ability to work independently and collaboratively within a team. Familiarity with donor policies and experience in fundraising are also essential qualifications for this role.
Educational Background: The educational background required for this position includes a Bachelor’s degree from an accredited academic institution in relevant fields such as Social Science, Public Relations, Economics, Development Studies, or International Relations. Accredited universities are those listed in the UNESCO World Higher Education Database. A Master’s degree in the same fields is also acceptable, providing a higher level of expertise and understanding of the complexities involved in migration and project management.
Experience: Candidates should have substantial experience in project development and management, including drafting reports and briefing notes, implementing complex projects, and managing budgets. A proven track record in developing projects funded by the European Commission at the national level, particularly within Poland, is highly desirable. Experience in organizing training programs and events, as well as familiarity with humanitarian assistance programming, will be considered advantageous. Previous work experience with NGOs, government agencies, or international institutions is also beneficial.
Languages: Fluency in Polish and English, both oral and written, is required for this position. Proficiency in any other IOM official language, such as French or Spanish, is considered desirable. Language proficiency will be evaluated during the selection process, which may include written and/or oral assessments to ensure candidates meet the necessary communication standards for the role.
