Job Overview: The Administrative Staff position at ADB involves a range of functions aimed at supporting the operations of the organization. The role requires strong analytical skills to gather, analyze, and communicate important information effectively and succinctly in writing. The successful candidate will be expected to liaise and interact professionally with staff within their work location and with other ADB stakeholders. Additionally, mentoring administrative staff on overall CCPF operations and supervising consultants will be part of the responsibilities.
Duties and Responsibilities: The duties and responsibilities of the Administrative Staff include but are not limited to:
Analyzing and communicating important information succinctly in writing.
Liaising and working effectively with staff and stakeholders.
Coordinating administrative tasks and ensuring smooth operations.
Taking initiative and setting priorities for assigned tasks.
Collaborating with team members to complete specific assignments.
Mentoring administrative staff and providing guidance on CCPF operations.
Engaging and supervising consultants as needed.
Maintaining professional relationships with internal and external stakeholders.

Contributing to the overall objectives of the organization.
Required Qualifications: Candidates must possess strong coordination and administration skills, with the ability to take initiative and prioritize tasks effectively. Excellent written and verbal communication skills in English are mandatory. The ability to work collaboratively in a team environment and mentor junior staff is essential. Candidates should also demonstrate experience in engaging and supervising consultants, as well as a strong understanding of ADB's operational framework and policies. Familiarity with the ADB Competency Framework for TL4 is advantageous.
Educational Background: A relevant educational background is required for the Administrative Staff position. Candidates should possess at least a bachelor's degree in a related field, such as business administration, public administration, or a similar discipline. Advanced degrees or certifications in relevant areas may be preferred and could enhance a candidate's qualifications.
Experience: Candidates should have a significant level of experience in administrative roles, preferably within an international organization or a similar environment. Experience in coordinating projects, managing teams, and liaising with stakeholders is highly desirable. A proven track record of mentoring staff and supervising consultants will be beneficial for applicants.
Languages: Proficiency in English is mandatory for this position, as it is the primary language of communication within ADB. Knowledge of additional languages relevant to the Asia-Pacific region may be considered an asset, although it is not a strict requirement.
Additional Notes: This appointment is open to both internal and external applicants and will be subject to a one-year probationary period. The position is funded by the Japan Fund for Poverty Reduction (JFPR), and the renewal of the appointment is contingent upon the availability of funding. The initial fixed-term appointment is for up to three years or until the Normal Retirement Date (NRD), whichever comes first. ADB may choose to renew the appointment for an additional three years based on various factors, including the need for the specific skills and experience of the staff member, funding availability, and performance. It is important to note that this appointment is not convertible to a regular appointment.
