Job Overview:
The Programme Associate position is crucial for supporting the Programme Team in the development and implementation of effective programs that align with UN Women's rules and regulations. This role involves providing comprehensive administrative, logistical, and programmatic support to ensure smooth program implementation. The Programme Associate will assist in various aspects of program management, including the preparation of work plans, budgets, and proposals, as well as tracking the delivery of funds. The position also entails supporting the financial management of the Programme Unit, ensuring that all financial transactions are accurately recorded and monitored. The Programme Associate will play a key role in facilitating knowledge sharing and capacity building within the organization, contributing to the overall mission of empowering women and promoting gender equality.

Duties and Responsibilities:
The Programme Associate will be responsible for a wide range of duties, including:
  • Providing administrative and logistical support for the formulation and management of programs, including the preparation of work plans, budgets, and proposals.
  • Assisting in the financial management of the Programme Unit by creating projects in the Quantum system, preparing budget revisions, and processing payments for consultants.
  • Organizing logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
  • Drafting minutes of meetings and preparing briefing materials and presentations.
  • Supporting resource mobilization efforts by compiling and processing documentation from donors and the program team.
  • Facilitating knowledge building by organizing training sessions for office personnel and partners on program and operations-related issues.
  • Performing other duties as necessary for the efficient functioning of the Office and the Organization.

Required Qualifications:
Candidates must possess at least a Bachelor’s degree in business or public administration, although a higher degree is preferred. Additionally, candidates should have at least 5 years of progressively responsible experience in administrative or program management/support roles. Proficiency in using multiple office software packages is required, and experience with ERP systems, particularly Oracle Cloud, is desirable. Candidates should also have experience in supporting a team and be able to demonstrate effective communication and organizational skills.

Educational Background:
A Bachelor’s degree in business or public administration is desirable for this position. Candidates with higher educational qualifications may have an advantage in the selection process. It is essential that all degrees are attested by the Higher Education Commission (HEC) of Pakistan, as this is a prerequisite for employment at UN Women. Foreign degree holders must present verification or equivalence letters from HEC to validate their qualifications.

Experience:
The position requires a minimum of 5 years of progressively responsible experience in administrative or program management/support. Candidates should have a solid background in working within a computer environment and be proficient in using various office software packages. Experience in utilizing ERP systems, particularly Oracle Cloud, is considered an asset. Additionally, candidates should have experience in providing support to teams and managing program-related tasks effectively.

Languages:
Fluency in English and Urdu is mandatory for this position. Candidates must be able to communicate effectively in both languages, as this will be essential for collaboration with team members and stakeholders. Proficiency in additional languages may be considered an advantage but is not required.

The position is offered under the NPSA contract modality at Grade Level NPSA
  • The Programme Associate will report to the Programme Specialist KOICA and will be expected to work full-time. Candidates may be required to present HEC attested degrees during the recruitment process. Foreign qualified candidates must provide verification or equivalence letters for their degrees.
