Job Overview:
The Publications Officer will play a crucial role in overseeing the workflow of the Trade and Agriculture Directorate (TAD) publications. This position requires a highly organized and detail-oriented individual who will ensure that the approximately 40-50 reports, papers, and briefs published each year meet high editorial and corporate standards. The successful candidate will report to the Communications Manager and will collaborate with various divisions within TAD and the Communications Directorate to coordinate the production and publishing of key outputs. The role involves planning, coordinating, and managing the publication process, ensuring that all outputs are coherent with corporate guidelines and are prepared for submission in the OECD’s Kappa system. The Publications Officer will also provide training and guidance to staff on publication processes and corporate tools, supporting the implementation of OECD policies and standards.

Duties and Responsibilities:
  • Oversee the planning and production processes for all TAD publications, actively participating in the Editorial Board's planning and discussions.
  • Update and maintain TAD’s publication calendar using a dedicated workflow management system.
  • Coordinate with colleagues across TAD and the Communications Directorate to ensure smooth workflows.
  • Maintain a roster of external service providers and advise Divisions on editorial, graphic design, and other services.
  • Support TAD colleagues in the preparation of publications and advise on best practices.
  • Review all publications for coherence with corporate guidelines.
  • Develop abstracts for all reports and papers and prepare publication covers.
  • Prepare all publications for submission in the OECD’s Kappa system, including relevant information and tags.
  • Edit and proof-read priority products for style and accuracy when needed. 1
  • Advise, train, and support teams on publication processes and corporate tools. 1
  • Support the implementation of OECD policies, procedures, and publishing standards, including the use of plain language. 1
  • Update and regularly distribute TAD’s complimentary publication guidance.

Required Qualifications:
  • A post-secondary level of education, preferably with a university degree in publishing or a communications-related discipline.
  • At least three years of experience in a role with similar responsibilities.
  • Excellent editorial skills with proven training and/or experience in copy editing and proofreading.
  • Experience in project management within a complex, high-pressure environment.
  • Excellent ITC knowledge, including Microsoft 365 tools and software.
  • Basic knowledge of Adobe Creative Suite programs, including Adobe InDesign, Illustrator, and Photoshop.
  • Experience using OECD tools (O.N.E. Author, OECD.graph, Kappa) is an advantage.

Educational Background:
The ideal candidate should possess a university degree in publishing or a communications-related discipline, which provides a solid foundation for understanding the intricacies of publication processes and editorial standards. A background in communications is particularly beneficial as it aligns with the responsibilities of ensuring effective dissemination of information and adherence to corporate guidelines.

Experience:
Candidates should have at least three years of relevant experience in a similar role, demonstrating a strong capability in editorial tasks, project management, and the ability to work under pressure. This experience should include a proven track record of managing publication workflows and collaborating with diverse teams to achieve high-quality outputs.

Languages:
Fluency in one of the two OECD official languages (English and French) is mandatory, along with a good knowledge of the other language. Candidates should be committed to reaching a very good working level in the second language, as effective communication in both languages is essential for the role.

Additional Notes:
This position is a 24-month fixed-term appointment, with the possibility of renewal up to a maximum of 36 months. The monthly salary starts at 5,135 EUR, plus allowances based on eligibility, and is exempt from French income tax.
