Job Overview: The Knowledge ManagementSenior Assistant will play a pivotal role in supporting the Development Partners (DPs) Secretariat, which is funded by the Government of Canada and the United Nations Resident Coordinator’s Office. This position involves developing and implementing a knowledge management framework that includes mapping donor initiatives by sector and working group. The assistant will compile and maintain this mapping, ensuring accessibility for all development partners. Responsibilities also include organizing meetings, maintaining stakeholder contact information, preparing statistical data, and supporting the day-to-day implementation of programs and projects. The role requires active participation in knowledge networking and visibility efforts for the DP Secretariat, as well as logistical and administrative support for various events and meetings. The assistant will also be responsible for financial management tasks, such as preparing financial reports and processing payment requests, ensuring that all tasks are completed with quality and within agreed timelines.
Duties and Responsibilities: The Knowledge Management Senior Assistant will be responsible for a variety of tasks, including:
Developing and implementing a knowledge management framework for the DP Secretariat.
Compiling and maintaining an evergreen mapping of donor initiatives organized by sector/working group.
Assisting in the organization and preparation of minutes for DP meetings and other coordination events.
Managing contact information for all stakeholders within the development partners structure.
Building and maintaining professional relationships with stakeholders.
Preparing statistical data and reports on relevant topics, including gender equality.
Providing information for social media and supporting knowledge management initiatives.
Facilitating advocacy events, workshops, and dialogues. 1
Preparing financial reports and processing payment requests. 1
Drafting routine correspondence and organizing meetings for newly arrived DP staff. 1
Establishing and maintaining filing systems for stakeholder communications. 1
Updating data relevant to DP coordination structures. 1
Providing logistical and administrative support for missions and meetings. 1
Gathering data for monitoring frameworks and preparing draft reports on progress.
Required Qualifications: Candidates must possess a secondary school diploma or equivalent, with a minimum of five years of relevant experience. A Master’s Degree or Bachelor’s degree in social science, law, business administration, public administration, or related fields will be considered an asset and may reduce the required years of experience. Experience in operations support or coordination roles at the national or international level is essential, along with proficiency in preparing business correspondence and using Google Suite. Experience in the development sector, particularly in gender equality and gender mainstreaming, is desirable, as is experience in knowledge management and communication.
Educational Background: The educational requirements for this position include a secondary school diploma or equivalent, with five years of relevant experience. A Master’s Degree or Bachelor’s degree in social science, law, business administration, public administration, or related disciplines is preferred and may reduce the required years of experience.
Experience: A minimum of five years of experience in operations support or coordination roles is required. This experience can be reduced depending on the candidate's academic credentials. Relevant experience in the development sector, particularly in gender equality and gender mainstreaming, is highly desirable. Familiarity with knowledge management and communication practices is also preferred.
Languages: Proficiency in English is mandatory for this position. Knowledge of Sinhala or Tamil is highly desirable, as it would enhance communication with local stakeholders and partners.
Additional Notes: The contract type for this position is Individual Contractor Agreement (ICA), specifically at the Local ICA Support level (LICA 5/ICS 5). The contract duration is open-ended, subject to organizational requirements, availability of funds, and satisfactory performance.
