Job Overview:
The Assistant plays a crucial role in providing administrative support to the leadership team and other professionals within the organization. This position requires a proactive and independent approach, as the Assistant is responsible for managing various tasks that ensure the smooth operation of the managers' business activities. Key responsibilities include travel planning, diary management, and coordinating meetings and events. The Assistant must interact with a wide range of stakeholders, including Managing Directors, external clients, and service providers, which necessitates strong communication skills and the ability to work effectively in a multicultural environment. The role also involves providing secretarial support during the absence of managers and assisting junior staff when needed, highlighting the importance of teamwork and collaboration within the organization.

Duties and Responsibilities:
The Assistant's duties encompass a wide range of administrative tasks, including but not limited to: managing and coordinating travel arrangements, including hotel bookings and visa applications; processing consultancy contracts and legal documentation; performing secretarial duties for Directors and Managers; managing diaries and scheduling meetings; drafting and proofreading correspondence; preparing materials for meetings and committees; maintaining comprehensive filing systems; organizing internal departmental events; and providing secretarial cover during absences. The Assistant is also responsible for maintaining team calendars and databases, ensuring that all tasks are executed efficiently and to a high standard. This role requires attention to detail, the ability to multitask, and a commitment to delivering quality work under pressure.

Required Qualifications:
Candidates must possess strong organizational skills and a proactive attitude towards work. Essential qualifications include secretarial and administrative experience, excellent written and oral communication skills in English, and the ability to work independently without guidance. A recognized secretarial qualification is advantageous but not mandatory. Candidates should also demonstrate good interpersonal skills, attention to detail, and the ability to build effective working relationships in a diverse environment. Familiarity with the EBRD's procedures and the ability to handle confidential information discreetly are also important.

Educational Background:
A high school education is required for this position. While a recognized secretarial qualification is beneficial, it is not a strict requirement. The emphasis is placed on practical experience and the ability to perform the necessary tasks effectively.

Experience:
Candidates should have relevant secretarial and administrative experience, demonstrating a proactive and flexible approach to work. The ability to manage multiple assignments and cope well under pressure is essential. Experience in a multicultural environment and the ability to build effective relationships with clients and colleagues are also important aspects of the required experience.

Languages:
Fluency in English is mandatory, with excellent written and oral communication skills. Knowledge of an additional language, such as Russian, German, French, or Arabic, is considered advantageous and may enhance a candidate's suitability for the role.

This position is a short-term contract lasting 12 months. The EBRD promotes a flexible working environment, expecting employees to work in the office 50% of the time.
