Job Overview: The Immunization Program Strategy Team (PST) at the Gates Foundation is focused on ensuring that vaccines are effectively delivered to children, adolescents, and adults worldwide. The Program Coordinator (PC) will play a crucial role in coordinating, implementing, and maintaining various projects and activities that support the team's extensive portfolio of grants and contracts. This position involves managing a diverse array of investments, including grants and contracts, while also coordinating projects that align with the program's objectives. The PC will collaborate closely with Deputy Directors, Program Officers, internal Business Partners, and both prospective and awarded grantees to ensure high-quality investments are made and managed. The role requires exceptional operational skills, strong interpersonal abilities to manage stakeholders, and meticulous attention to detail, all aimed at achieving the program's goals effectively.
Duties and Responsibilities: The Program Coordinator will be responsible for a wide range of tasks, including: working with Program Officers, Grantees, and Business Partners throughout all stages of grant making, which involves sending out requests for proposals and managing submission deadlines; assisting with grant management and evaluation by reviewing written materials such as grant summaries and reports; coordinating contracts by tracking invoicing and deliverables, monitoring expenditures, and ensuring compliance with reporting requirements; shepherding the development, management, and closeout of grants; managing data for all grants and contracts across multiple investment databases and SharePoint sites; providing detailed analysis" style="border-bottom: 1px dotted #007bff !important;">financial analysis to support the team's financial decision-making; maintaining accurate and up-to-date information for reporting and analysis; leading high-quality interactions and communications with grantees and partners; acting as a liaison with Grants & Contracts Management, Legal, and Financial Planning & Analysis; working on special team projects related to grants or team processes; proactively identifying areas for process improvement; contributing to continuous improvement efforts; and serving as a subject matter expert on processes, tools, and systems while providing training and support to ensure successful adoption and sustained use.
Required Qualifications: Candidates must possess a Bachelor’s degree and have at least 5 years of relevant experience, or equivalent experience. They should demonstrate the ability to manage high-volume and complex portfolios effectively. Flexibility, efficiency, and diplomacy in a fast-paced environment are essential, as is the ability to learn quickly and adapt to new challenges. Candidates should also be able to distill necessary actions even in ambiguous situations and influence individuals and teams without explicit authority.
