Job Overview: The Assistant plays a crucial role in providing administrative and secretarial support to allocated managers within the Banking Sectors division. This position is essential for ensuring the smooth operation of the managers' business activities, which include travel planning, expense management, and diary management. The Assistant will work closely with team managers and collaborate with other support staff, facilitating communication and coordination with colleagues in both the Resident Offices and Headquarters. The role requires a proactive approach to managing tasks and responsibilities, ensuring that all administrative functions are executed efficiently and effectively.
Duties and Responsibilities: The Assistant will be responsible for a variety of tasks, including but not limited to: providing secretarial and administrative support to the team or department, covering for absent colleagues, arranging internal and external meetings and conference calls, and ensuring that all logistics for these meetings are handled seamlessly. The Assistant will also manage travel arrangements, including hotel bookings, itineraries, and visa applications, while ensuring that all travel-related expenses are processed accurately and in a timely manner. Maintaining comprehensive filing systems, both in hard copy and electronically, is essential for ensuring that documents are easily retrievable. The Assistant will coordinate logistics for signing events, act as the Stationery Coordinator, support Bankers on Opscom and Board submissions, and handle correspondence requiring appropriate sign-off. Additionally, the Assistant will proofread, produce, and edit documents as directed by the Line Manager and undertake any ad-hoc tasks assigned.
Required Qualifications: Candidates must possess a secondary or high school education and demonstrate fluency in English, with excellent written and oral communication skills. Knowledge of an additional language such as Russian, German, French, or Arabic is advantageous. Essential qualifications include prior secretarial and administrative experience, strong organizational skills, a proactive and flexible work attitude, and the ability to prioritize tasks effectively. Candidates should have good communication skills, attention to detail, and the ability to work well under pressure while building effective relationships in a multicultural environment. A conscientious, reliable, and professional demeanor is crucial, along with the ability to handle confidential information discreetly.
Educational Background: The minimum educational requirement for this position is a secondary or high school education. Candidates with further qualifications or certifications in administration or secretarial studies may be preferred, although not mandatory.
