Job Overview:
The Secretariat Analyst position is situated within the Information Access Unit (IAU) of the Office of the Secretary at ADB. This role is crucial for providing analytical, technical, and administrative support related to the circulation and public disclosure of Board papers. The Secretariat Analyst will play a significant role in enhancing the flow of documentation and ensuring compliance with the Access to Information Policy. The position requires a proactive approach to reviewing documents, guiding staff on procedures, and coordinating with various teams to ensure timely and accurate dissemination of information. The analyst will also be involved in managing events and supporting departmental activities, making this a dynamic role that contributes to the overall efficiency of ADB's operations.

Duties and Responsibilities:
The duties and responsibilities of the Secretariat Analyst include: reviewing documents submitted for circulation to ensure compliance with ADB standards; providing guidance to staff on procedures for circulating papers to the Board; coordinating with staff and team members to ensure timely circulation of Board papers; reviewing requests for access to Board papers and ensuring adherence to the administrative order on information classification; managing external requests for information in line with the Access to Information Policy; collaborating with the IT Department to develop compliance reports; supporting document management and information classification of Board documents; maintaining the accuracy and consistency of the Board Paper Library; providing inputs for new systems and work processes; assisting in the management of events such as the Annual Meeting of the Board of Governors; and providing administrative support to Board Committee meetings as needed.

Required Qualifications:
Candidates for the Secretariat Analyst position must possess a Bachelor's degree in business administration, communications, or a related field. They should have at least 5 years of relevant experience in a similar role. Excellent command of written and spoken English is essential, along with strong proofreading skills. Proficiency in standard software programs commonly used in multilateral organizations is required. The ideal candidate should demonstrate the ability to work collaboratively within teams, coordinate effectively across different teams, and manage work priorities with minimal supervision. A client-oriented approach and sensitivity to working in a diverse and multicultural environment are also important qualifications for this role.

Educational Background:
