Job Overview:
The Executive Board Associate (Admin and Conference Services) plays a crucial role in supporting the Executive Board Branch (EBB) within the Office of the director" style="border-bottom: 1px dotted #007bff !important;">Executive Director at UNFPA. This position is responsible for providing comprehensive administrative and financial support to the EBB, which coordinates the relationship with UNFPA’s governing body, the UNDP/UNFPA/UNOPS Executive Board. The role involves close collaboration with all Branch staff and requires a proactive approach to managing various administrative tasks, including the organization of meetings, logistical arrangements, and financial reporting. The Executive Board Associate will also assist in the development of work plans and ensure compliance with UNFPA policies and procedures. This position is vital for maintaining effective communication and coordination with Member States and the Executive Board Secretariat, thereby contributing to the overall mission of UNFPA.

Duties and Responsibilities:
The Executive Board Associate (Admin and Conference Services) will be responsible for a variety of tasks, including: A. Providing administrative and financial support to EBB by drafting annual work plans, monitoring and reporting processes, maintaining the Branch Results and Resources Plan, managing travel arrangements, reviewing procurement requests, creating payments for Branch expenses, and ensuring compliance with UNFPA administrative policies. B. Supporting the organization of Executive Board formal and informal sessions by handling all logistical, administrative, and financial arrangements, liaising with the Executive Board Secretariat, developing supporting documentation, and drafting communications. C. Assisting the Chief of EBB by scheduling meetings, collecting documents, and performing other activities as requested. D. Backstopping the Editorial Associate by providing training and support as needed.

Required Qualifications:
Candidates must possess a minimum of six years of relevant administrative experience in either the public or private sector. They should have the ability to interpret and explain rules, regulations, and procedures clearly and concisely. Proficiency in spreadsheets, word processing, and computerized accounting systems is essential, along with strong writing and communication skills. Candidates with experience in UN-related finance and HR regulations, as well as familiarity with Enterprise Resource Planning (ERP) systems such as Oracle Cloud ERP, will be considered favorably. Additionally, candidates should demonstrate strong interpersonal and organizational skills.

Educational Background:
The minimum educational requirement for this position is the completion of Secondary School Education, complemented by additional training in Finance, Procurement, Administration, and Management. This educational background is crucial for understanding the administrative and financial processes involved in the role.

Experience:
The position requires a minimum of six years of relevant administrative experience. This experience should ideally include work in environments similar to the UN, where understanding of complex regulations and procedures is necessary. Candidates should have demonstrated their ability to manage sensitive tasks and work effectively in a team-oriented environment.

Languages:
Fluency in English is mandatory for this position. Knowledge of other official UN languages, particularly French and/or Spanish, is considered desirable and may enhance a candidate's application.
