Job Overview: The Programme Management Support Assistant will play a crucial role in the Programme Management Office (PMO) within the East & Southern Africa MCO (ESAMCO). This position is designed to support the PMO Specialist and the Head of Programme in the daily operations of the PMO. The assistant will be involved in ensuring that the right projects are selected and executed effectively, adhering to UNOPS standards. The role requires a proactive approach to project management, including the compilation and documentation of project information, logistical support for meetings and events, and tracking project milestones and deliverables. The assistant will also contribute to the development of proposals and maintain communication with stakeholders, thereby enhancing the operational excellence and partner satisfaction of ESAMCO's projects.
Duties and Responsibilities: The incumbent will be responsible for a variety of functions including: compiling and documenting project information such as proposals, legal agreements, and progress reports; maintaining and updating project files in the corporate drive; providing logistical support for meetings and events; tracking project milestones and deadlines; assisting in quarterly assurance processes; monitoring project budgets; maintaining registers of issues and risks; supporting communication efforts for the project; preparing briefing materials for external engagements; and gathering data on Key Performance Indicators (KPIs) to ensure compliance with UNOPS policies.
Required Qualifications: Candidates must possess a High School Diploma as a minimum requirement, while a Bachelor's degree in fields such as business administration, public administration, development studies, project management, international relations, economics, statistics, or social sciences is desirable. Additionally, candidates should have at least one year of experience in a programme or project management environment, proficiency in office software (preferably Google applications), and strong organizational skills. Experience with UNOPS systems and procedures, as well as data analysis, is considered an advantage.
Educational Background: A High School Diploma is required for this position, with a preference for candidates holding a Bachelor's degree in relevant fields such as business administration, public administration, development studies, project management, international relations, economics, statistics, or social sciences. This educational background is essential for understanding the complexities of project management and the operational context of UNOPS.
Experience: The position requires at least one year of experience in a programme or project management environment.
