Job Overview: The Medical Assistant plays a crucial role in the Migration Health Assessment Centre (MHAC) by providing essential information related to Health Assessment Programs and assisting in the processing of applicants and other IOM services for migrants. This position requires flexibility as the incumbent may be assigned to either the reception and data processing unit or the call centre. The Medical Assistant is expected to support the coordination of the call centre's functions, ensuring efficient operations while also handling data processing activities. The role involves direct interaction with migrants, requiring excellent communication skills and a strong understanding of health assessment procedures. The Medical Assistant will be responsible for maintaining accurate records, scheduling appointments, and ensuring that all necessary documentation is processed correctly and efficiently. This position is vital for ensuring that migrants receive timely and accurate health assessments, contributing to their overall well-being and integration into new communities.
Duties and Responsibilities: The Medical Assistant's duties are divided into two main areas: Call Centre and Reception/Data Entry. In the Call Centre, the Medical Assistant will support the coordination of call centre functions, provide information to migrants regarding health assessments, register migrants in the IOM database, schedule and confirm medical appointments, and maintain daily statistics related to health assessments. In the Reception and Data Entry unit, the Medical Assistant will perform data processing activities, including explaining the registration process to applicants, checking identities, entering biodata into the appropriate platform, taking and uploading photos, and preparing medical forms. The role also involves receiving completed medical examination forms, sorting and packaging medical files for mobile health assessment missions, and transmitting documents to various partners. The Medical Assistant will also be responsible for filing incoming and outgoing correspondence and ensuring that all documentation is accurately maintained and processed.
Required Qualifications: Candidates must possess a University Degree with at least three years of relevant working experience, or a Secondary School Diploma with at least five years of relevant working experience. A certificate in IT/Data entry is considered an advantage. Candidates should have experience in computer data entry, elaboration, and analysis, preferably in a medical or busy institutional setting. A typing speed of at least 60 words per minute is required, along with knowledge of data management principles and customer care. High computer literacy in Windows and MS Office is mandatory, and knowledge of web page design is an asset. Familiarity with medical terminology and previous experience with NGOs or international organizations is also advantageous. Knowledge and/or certification in data analysis tools such as Power BI and programming languages like SQL are considered beneficial.
Educational Background: The educational background required for this position includes a University Degree or a Secondary School Diploma, with relevant working experience as specified. Accredited universities are those listed in the UNESCO World Higher Education Database. A certificate in IT/Data entry is an additional qualification that can enhance a candidate's profile.
Experience: The position requires candidates to have a minimum of three years of relevant working experience if they hold a University Degree, or five years if they have a Secondary School Diploma. Experience in computer data entry, call centre operations, and familiarity with medical environments is highly desirable. Candidates should also demonstrate proficiency in typing and data management, as well as previous experience working with NGOs or international organizations, which is considered an asset.
Languages: Fluency in both written and spoken English and French is required for this position. Additionally, fluency in Kirundi and Swahili (oral and written) is desired. The proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments. IOM's official languages are English, French, and Spanish, and candidates should be prepared to demonstrate their language skills as part of the recruitment process.
Additional Notes: This position is a Special Short Term Graded contract with an initial duration of 6 months, extendable up to 9 months depending on funding and organizational needs. The recruitment is subject to local conditions, and only candidates holding a valid residence and work permit for Burundi will be considered. The appointment will also be contingent upon medical fitness certification and verification of residency and visa requirements.
