Job Overview: The Medical Assistant position at the Migration Health Assessment Centre (MHAC) in Warsaw, Poland, involves a range of responsibilities aimed at supporting the health assessment programs for migrants. Under the supervision of the Regional Health Assessment Coordinator, the Medical Assistant will play a crucial role in the call centre function, providing essential information to migrants regarding health assessments and IOM services. The Medical Assistant will be responsible for registering migrants in the IOM database, scheduling medical appointments, and maintaining accurate records. This position is vital for ensuring that migrants receive timely and accurate information about their health assessments, contributing to overall customer satisfaction and the efficient operation of the MHAC.
Duties and Responsibilities: The Medical Assistant will have a variety of duties, including but not limited to: supporting the coordination of the call centre function, providing information to migrants regarding health assessments, registering migrants in the IOM database, scheduling and confirming medical appointments, and maintaining daily statistics related to health assessments. In the reception and data entry unit, the Medical Assistant will perform data processing activities such as explaining the registration process to applicants, checking applicant identities, entering biodata into the appropriate platform, taking and uploading photos, and printing necessary medical forms. The role also involves receiving completed medical examination forms, updating the database, preparing medical files for mobile health assessment missions, and ensuring accurate transmission of documents to partners. Additionally, the Medical Assistant will file incoming and outgoing correspondence and submit photocopies of bank deposit slips to the Administrative/Finance Assistant.
Required Qualifications: Candidates must possess a University Degree with at least three years of relevant working experience, or a Secondary School Diploma with at least five years of relevant experience. A certificate in IT or data entry is considered an advantage. The position requires strong computer skills, particularly in data entry and management, as well as knowledge of customer care principles. Familiarity with medical terminology and previous experience in a medical or NGO setting is preferred. Candidates should also have proven knowledge of data analysis tools and healthcare-specific systems, such as Electronic Health Record Systems (EHRs).
Educational Background: The educational requirements for this position include a University Degree from an accredited institution listed in the UNESCO World Higher Education Database, or a Secondary School Diploma with extensive relevant experience. A certificate in IT or data entry is advantageous, indicating a preference for candidates with formal training in data management and technology.
Experience: The ideal candidate should have experience in computer data entry, elaboration, and analysis, preferably within a busy medical institution or call centre environment. A typing speed of at least 60 words per minute is required, along with high computer literacy in Windows and MS Office. Previous experience with NGOs or international organizations is an added advantage, as is familiarity with data management principles and customer care.
Languages: Fluency in English and the local language is mandatory for all applicants, both oral and written. This requirement ensures effective communication with migrants and other stakeholders in the health assessment process.
Additional Notes: This position is part-time, at 50% capacity, and is subject to local recruitment. Candidates must hold a valid residence and work permit for Poland to be eligible for consideration. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months. The appointment is contingent upon medical fitness certification and verification of residency and visa requirements.
