Job Overview: The Implementation Assistant position is designed to support various professionals within the Department of Nuclear Energy by managing administrative arrangements related to the program area. The role involves independently processing all administrative actions related to the recruitment of experts, lecturers, consultants, and training course participants. The Implementation Assistant is responsible for ensuring that all actions and tasks, such as training events, technical meetings, expert missions, and consultancies, are executed in accordance with established policies, procedures, and quality standards. This position requires a proactive approach to problem-solving and effective communication skills to coordinate various activities and ensure smooth operations within the department.
Duties and Responsibilities: The Implementation Assistant will be responsible for a wide range of duties, including but not limited to: arranging travel for staff and non-staff, coordinating technical cooperation (TC) related activities, scheduling and implementing internal and external meetings, seminars, and workshops, and conducting eTraining Web-Ex meetings. The assistant will initiate and process the recruitment of consultants, ensuring timely payment and compliance with corporate systems. Additionally, the role involves creating and managing Excel files, lists, and graphs, as well as inputting and retrieving data from databases to provide statistical insights on training course participation and other relevant metrics. The Implementation Assistant will act as a focal point for coordinating activities and will provide backup support to other assistants as needed.
Required Qualifications: Candidates must possess a High School Diploma and have a minimum of five years of relevant work experience in a clerical or administrative position, with some experience in an international organization being highly desirable. Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint) is required, along with a proven record of editing and quality checking official correspondence. Knowledge of administrative procedures and policies related to IAEA meetings is highly desirable, as is experience with the IAEA's corporate systems such as AIPS and iProc. Candidates should demonstrate a high degree of accuracy and attention to detail in their work.
Educational Background: The educational background required for this position includes a High School Diploma. Additional qualifications or certifications in administrative support or project management may be beneficial but are not explicitly required.
