Job Overview:
The Field Security Assistant (FSA) position is a national role located within the United Nations Department of Safety and Security (UNDSS) and the United Nations Assistance Mission for Iraq (UNAMI) Pass and ID unit in Baghdad. The FSA is responsible for providing essential administrative support to the Deputy Security Adviser for Admin and Support, focusing on the issuance of ID cards, document verification, and the management of electronic records. This role is critical in ensuring the smooth operation of the Pass & ID Unit, which plays a vital role in maintaining security and administrative continuity within the UN system in Iraq. The FSA will work closely with various stakeholders to coordinate the issuance of ID cards and ensure compliance with established procedures and standard operating protocols.

Duties and Responsibilities:
The Field Security Assistant (FSA) will undertake a variety of duties, including but not limited to: issuing ID cards to all United Nations Security Management System (UNSMS) personnel in Iraq; verifying documents prior to the issuance of ID cards; ensuring the use of the latest UN ID request forms for ID card issuance or renewal; entering and updating data into the software system; taking photographs of UNSMS personnel and maintaining a database for future reference; printing various types of UN ID cards, passes, and permits in accordance with standard operating procedures; managing and maintaining an inventory of blank ID cards; assisting in obtaining new UN ID card designs and modifying existing designs as needed; updating database records upon UNSMS personnel checkout; and implementing all provisions of the standard operating procedures. The FSA will also perform other duties as necessary for the efficient functioning of the office and the organization.

Required Qualifications:
Candidates must possess secondary education as a minimum requirement. A university degree in Security Management, Business Administration, Public Administration, or a related field will be considered an advantage but is not mandatory. The role requires a strong understanding of administrative processes and security support services, as well as proficiency in using office software packages, database systems, and specialized printing equipment. Familiarity with UN systems and prior experience in international humanitarian or development settings is desirable but not essential. Relevant experience in the issuance of Pass & IDs and program support is also beneficial.

Educational Background:
The educational background required for this position includes a minimum of secondary education. Candidates with a university degree in relevant fields such as Security Management, Business Administration, or Public Administration will be given preference. However, having a degree is not a strict requirement, and candidates with significant relevant experience may still be considered.

Experience:
The position requires a minimum of four years of work experience in administration, security support services, or a related field for candidates with a high school diploma. For those with a bachelor's degree, at least one year of relevant work experience is required. Candidates should have experience in using computers, office software packages (such as MS Word and Excel), database systems, and specialized printing equipment. Experience working with the UN system, international NGOs, or in international humanitarian or development contexts is desirable but not mandatory. Relevant experience in the issuance of Pass & IDs and administrative support is also important.

Languages:
Fluency in both oral and written communication in English and Arabic is mandatory for this position. Candidates must demonstrate strong communication skills in both languages to effectively perform their duties and interact with diverse stakeholders.

This position is a national role based in Baghdad, Iraq, and is locally administered by UNDP. The Field Security Assistant will report to the Supervisor of the Pass & ID unit, which falls under the DSA Admin and Support pillar.
