Job Overview: The Property Control and Inventory Assistant plays a crucial role in the Supply Chain Performance Management Unit of UNISFA. This position involves assisting the Chief of the Unit in managing, monitoring, and reporting on property management support operations within the field mission. The incumbent will be responsible for ensuring that property management activities comply with UN policies and standards. This role requires a proactive approach to monitoring ongoing operations, conducting site visits, and performing physical inspections of UN property. The Property Control and Inventory Assistant will also be involved in maintaining accurate records, utilizing business intelligence tools, and preparing performance reports. The position demands a high level of professionalism and the ability to work effectively under challenging conditions, contributing to the overall success of the mission's supply chain processes.
Duties and Responsibilities: The Property Control and Inventory Assistant will have a comprehensive set of responsibilities, including: assisting in the planning and monitoring of property management operations; conducting regular site visits and inspections of field mission offices; liaising with various technical units and ensuring compliance with UN Environment and Waste Management policies; maintaining accurate records for accountability of UN property; utilizing reporting and management tools to evaluate mission performance; controlling and monitoring the ERP Property and Inventory Management database; preparing and verifying performance reports and IPSAS financial statements; drafting Standard Operating Procedures (SOP) and flow charts; maintaining the fixed assets register; carrying out Property Survey and Local Property Survey Board Secretary functions; and performing other duties as required. This role requires a detail-oriented individual who can manage multiple tasks effectively and ensure compliance with organizational standards.
Required Qualifications: Candidates must possess a high school diploma or equivalent. General training in property, inventory, or supply management is desirable. The position requires a minimum of 6 years of relevant experience in property management, property control, inspection, and asset management. Experience in a United Nations common system field operation is essential, particularly in the areas of property, inventory, and assets management. Hands-on experience with an Enterprise Resource Planning (ERP) system related to property and inventory management is required, along with experience in Fixed Assets Accounting and Asset Registry. Candidates should also have experience in property survey board processes and reporting, data collection, and quality analysis in property management.
Educational Background: The educational requirement for this position is a high school diploma or equivalent. While a higher level of education may be beneficial, it is not explicitly required.
