Job Overview: The Asistente Dirección Ejecutiva plays a crucial role in supporting the director" style="border-bottom: 1px dotted #007bff !important;">Executive Director by managing various organizational tasks. This includes coordinating meetings, preparing documentation, and ensuring effective communication both internally and externally. The assistant will work closely with the management team to enhance the operational efficiency of the Executive Directorate. The position requires a proactive approach to assist in strategic planning and project management, ensuring that the Executive Director's agenda is effectively managed and that all necessary follow-ups are conducted. The role is vital for maintaining the flow of information and facilitating the execution of the organization's strategic objectives.
Duties and Responsibilities:
Assist the Executive Director by coordinating strategic meetings, including preparing invitations, agendas, participant lists, minutes, and tracking agreements made during meetings.
Organize work meetings with the global office and ensure follow-up on agreements reached.
Manage various administrative tasks such as document signing processes, personnel matters, travel arrangements, expense accounts, and the overall functioning of the office.
Coordinate meetings of the Executive Directorate with various external audiences to fulfill work agenda commitments.
Collaborate with the MEL Specialist in the coordination of programmatic strategic planning processes.
Monitor and follow up on strategic projects and requirements from the Executive Directorate.
Prepare documents and presentations in both Spanish and English.
Develop the budget for the executive office and manage costs within that budget.
Provide direct support to the chair of the board, including organizing and coordinating working sessions for board members with the management team of WRI Mexico. 1
Reactivate and follow up on programmatic councils related to forests, climate, energy, and cities. 1
Prepare contributions from WRI Mexico to the board.
A postgraduate degree or master's in a related field is desirable.
A minimum of 5 years of experience assisting executive teams, coordinating high-level agendas, and organizing events.
Strong communication skills, both verbal and written, in Spanish and English.
Proven ability to influence and work collaboratively with diverse stakeholders.
Demonstrated initiative and autonomy in managing tasks and responsibilities.
Ability to adapt and remain flexible in a fast-paced environment.
Strong organizational skills and attention to detail.
Capacity to work under pressure and manage multiple priorities effectively.
Educational Background: The position requires a bachelor's degree in relevant fields such as Political Science, International Relations, or Public Relations. A master's degree or postgraduate qualification in a related area is considered an asset, indicating a higher level of expertise and understanding of the complexities involved in the role.
Experience: Candidates must have a minimum of 5 years of experience in roles that involve assisting executive teams, managing high-level agendas, and organizing significant events.
