Job Overview:
The HR Senior Assistant - Recruitment Support Services is based in Nairobi, Kenya, and works under the direct supervision of the HR Officer. This position is crucial for administering and implementing HR recruitment support services across the organization. The HR Senior Assistant collaborates closely with Programme, Project, and Support Services colleagues to manage UNOPS and partner personnel globally, ensuring consistent service delivery in recruitment processes. The role involves providing recruitment support to field offices, maintaining high-quality work standards, and ensuring accurate and timely documentation of service delivery. The HR Senior Assistant promotes a client-oriented approach in line with UNOPS HR management regulations and works with field office managers to ensure efficient and timely recruitments. Monitoring recruitment plans and KPIs is also a key responsibility, contributing to the overall effectiveness of the HR team.

Duties and Responsibilities:
The HR Senior Assistant's duties include providing administrative support to talent acquisition and recruitment processes. This involves assisting HR Associates with various stages of recruitment, such as creating vacancy announcements in UNOPS' online recruitment system, coordinating email circulations for internal positions, and managing outreach activities with local job websites. The role also includes scheduling interviews, conducting background checks, and supporting the completion of recruitment processes, including offers and rejections. The HR Senior Assistant is responsible for preparing recruitment files, updating recruitment statuses in the online system, and liaising with relevant HQ and UN system units. Additionally, the role supports process improvements and HR knowledge-building initiatives by inputting and updating data, assisting with recruitment-related projects, and contributing to corporate HR initiatives. The HR Senior Assistant also plays a role in delivering training and learning initiatives on recruitment topics, ensuring the overall efficiency of the team's administrative services and enhancing client satisfaction.

Required Qualifications:
Candidates must have completed secondary education, with a Bachelor Degree in Human Resources Management, Business Administration, Public Administration, or equivalent disciplines being preferred. A Bachelor’s degree may substitute for required work experience, provided the candidate has at least one year of relevant experience. Candidates should possess a minimum of five years of progressive experience in international or national organizations, specifically in recruitment support or HR generalist services. Proficiency in computer and office software packages, as well as experience with web-based management systems, is also required. Candidates must demonstrate a strong understanding of HR processes and the ability to work effectively in a team-oriented environment.

Educational Background:
The educational requirement for this position includes the completion of secondary education. A Bachelor’s degree in relevant fields such as Human Resources Management, Business Administration, or Public Administration is highly desirable. Candidates with a Bachelor’s degree and one year of relevant experience may substitute for the required years of work experience, highlighting the importance of both formal education and practical experience in the field of HR.

Experience:
The HR Senior Assistant position requires a minimum of five years of progressive experience in providing recruitment support and/or HR generalist services within international or national organizations. This experience should include a solid understanding of recruitment processes and the ability to manage various HR functions effectively. Additionally, candidates should have at least one year of experience with computer systems and office software, as well as familiarity with web-based management systems, which are essential for the role.

Languages:
Full proficiency in English is mandatory for this position, as it is the primary language of communication within UNOPS. Additional Notes:
This position is offered under a Local Individual Contractor Agreement (LICA) at level LICA-5, with an open-ended contract duration subject to organizational requirements, availability of funds, and satisfactory performance. The role is based in Nairobi, Kenya, which is designated as a family duty station. Candidates should be prepared for some flexibility in working hours to accommodate recruitment activities outside the Nairobi time zone (GMT+3).
