Job Overview: The Programme Assistant Gender & Youth plays a crucial role in supporting the Gender & Youth unit by providing comprehensive programme, administrative, and financial assistance. This position involves working closely with the Gender & Youth team to ensure the effective implementation of programmes and initiatives aimed at empowering young people and promoting gender equality. The Programme Assistant is expected to deliver high-quality services in areas such as travel, protocol, logistics, and general administration, adhering to UNFPA's rules and guidelines. The role requires a client-oriented approach, ensuring that the needs of UNFPA colleagues are met efficiently and effectively. The Programme Assistant will also collaborate with the Finance Associate to provide seamless support to the Country Office (CO).
Duties and Responsibilities: The Programme Assistant Gender & Youth is responsible for a variety of tasks, including: A. Supporting the Gender & Youth Programme team by assisting with logistical arrangements for meetings, missions, workshops, and events, which includes procurement of supplies and logistical coordination. B. Research and Knowledge Management Sharing by archiving, filing, and maintaining up-to-date electronic mailing lists related to Gender & Youth programme matters. This also includes recording and distributing meeting minutes promptly and following up on agreed actions and tasks. C. General Support by carrying out any other duties as required by UNFPA management, ensuring that all tasks are completed in a timely and efficient manner.
Required Qualifications: Candidates must possess completed Secondary Level Education as a minimum requirement. Additional training or certification in administration or office management is considered an asset. The ideal candidate should have four years of relevant experience in project or programme support within private, national, or international organizations, including some experience in research assistance. Previous experience within the UN system is advantageous. Strong interpersonal and organizational skills are essential, along with proficiency in computer applications such as Word, Excel, and PowerPoint. Familiarity with ERP systems is a plus, as are good writing and communication skills. The ability to work effectively in a team environment is crucial, and experience in disability-inclusive and gender-transformative programming is an asset.
Educational Background: The educational background required for this position includes completed Secondary Level Education. Candidates with additional training or certification in administration or office management will have an advantage, as this knowledge is beneficial for the administrative aspects of the role.
Experience: The position requires a minimum of four years of relevant experience in project or programme support. This experience should ideally be gained in private, national, or international organizations, with a preference for candidates who have some background in research assistance. Experience within the UN system is also considered an advantage, as it provides familiarity with the organization's processes and culture.
Languages: Fluency in both oral and written English is mandatory for this position. Additionally, having a working knowledge of another UN Official Language is considered an asset, as it enhances communication capabilities within the diverse UN environment.
