Job Overview:
The Programme Management Assistant will play a crucial role in supporting UNCTAD's relocation efforts from building H to building S, scheduled for Q4 202
  • This position involves coordinating various aspects of project planning and preparation, ensuring compliance with relevant rules and procedures, and facilitating communication between UNCTAD and external contractors. The assistant will compile and present data on specific projects, review project documents for completeness, and serve as a focal point for administrative coordination of project implementation activities. This role requires a proactive approach to problem-solving and the ability to manage multiple tasks effectively while maintaining a high level of professionalism and attention to detail.

Duties and Responsibilities:
The Programme Management Assistant will be responsible for a wide range of duties, including: assisting in the coordination of programme/project planning for the relocation; compiling and summarizing project-related information; reviewing project documents for compliance; verifying budget revisions and availability of funds; serving as the administrative focal point for project implementation; compiling data on project delivery and performing quality assurance; drafting correspondence and preparing reports; providing general office assistance; guiding and training new staff; assisting with data collection and analysis; and contributing to asset management and inventory updates. The assistant will also perform other duties as assigned, demonstrating flexibility and adaptability in a dynamic work environment.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A first-level university degree or higher is preferred, which may reduce the required years of experience. The position requires a minimum of five years of experience in programme or project administration, technical cooperation, or a related area. Experience in data analytics or related fields is desirable, as is experience within the UN System and familiarity with Enterprise Resource Planning (ERP) software.

Educational Background:
The minimum educational requirement for this position is a high school diploma or equivalent. However, candidates with a first-level university degree or higher will be given preference, which may also reduce the experience requirement from five years to three years.

Experience:
The ideal candidate should have at least five years of relevant experience in programme or project administration, technical cooperation, or a related area. For those with a first-level university degree or higher, the minimum experience requirement is reduced to three years. Additionally, having one year or more of experience in data analytics or a related area is considered desirable, as is prior experience as an assistant within the UN System and familiarity with ERP software.

Languages:
Fluency in oral and written English is required for this position, as English and French are the working languages of the United Nations Secretariat. Knowledge of another official United Nations language is considered desirable, enhancing the candidate's qualifications for the role.
