Job Overview:
Under the supervision of the Director of Expertise and Advocacy, the role involves assisting in the management and organization of the department, with a strong focus on internal communication. The position requires a proactive approach to ensure effective communication and coordination within the department and with other departments. The assistant will be responsible for various administrative tasks, including managing the secretariat, organizing meetings, and ensuring the smooth flow of information. The role is crucial in supporting the department's objectives and enhancing its operational efficiency.
Duties and Responsibilities:
The duties and responsibilities of the position include:
- Managing the secretariat and administrative tasks for the Expertise & Advocacy Directorate.
- Following up on requests from the Directorate in collaboration with other departments and service managers.
- Drafting and formatting internal documents.
- Attending meetings of the Directorate, taking minutes, and ensuring their validation before distribution.
- Collecting information and contributing to the monthly situational note for the General Director and the Board of Directors.
- Ensuring effective communication between the Directorate and various services.
- Updating and monitoring the management tools of the Directorate.
- Providing administrative support to the ACF Foundation.
- Participating in projects and events organized by the Expertise & Advocacy Department.
Required Qualifications:
The ideal candidate should possess a higher education degree (Bac+2) in executive assistance and have prior professional experience in a similar role, particularly in internal communication or knowledge dissemination. The candidate must demonstrate strong analytical skills and the ability to produce concise summary documents. Confidentiality, discretion, and adaptability are essential traits for this position. Excellent writing and synthesis skills are required, along with a strong sense of organization and a commitment to humanitarian issues.
Educational Background:
A higher education degree (Bac+2) in executive assistance or a related field is required for this position. The educational background should include training that equips the candidate with the necessary skills for administrative support and communication tasks.
Experience:

Additional Notes:
The position is classified as a CDD (fixed-term contract) for 6 months, specifically to cover maternity leave. The role is based in the Île-de-France region, with a salary range of €34,000 to €41,000 gross annually, depending on experience. Employees are entitled to 21 days of RTT (reduced working time), and health coverage is provided at 80% by ACF. Additional benefits include transport allowances covering 50% of the commuting costs, meal vouchers with a 60% contribution from the organization, and access to social benefits such as gift vouchers and cultural activity reimbursements. Remote work is permitted, with a requirement for in-person attendance at the headquarters for two days per month, along with mandatory attendance for collective meetings and events up to three days per month.
