Job Overview: The position of Registry within the ICC is crucial for the effective management and operation of the Facilities Management Unit (FMU) within the General Services Section. The incumbent will be responsible for overseeing the management of soft services and hospitality contracts, ensuring that all outsourced services are delivered in compliance with established contracts. This role requires a proactive approach to managing the day-to-day operations of the FMU Service Desk, ensuring that the services provided are responsive and client-friendly. The successful candidate will also be tasked with managing the financial aspects of the FMU contracts, preparing budgets, and producing financial reports. Additionally, the role involves liaising with various stakeholders, including service contractors and internal departments, to ensure that all operational needs are met efficiently and effectively. The incumbent will play a key role in supporting the organization’s mission by ensuring that the facilities are well-managed and conducive to the ICC's operations.
Duties and Responsibilities: The duties and responsibilities of the Registry position include managing the FMU soft services and hospitality contracts, overseeing outsourced services such as cleaning, catering, and maintenance. The incumbent will liaise with service contractors to ensure compliance and optimal service delivery, prepare and review budgets for operational service contracts, and monitor contractor performance. Additionally, the role involves managing the FMU Service Desk, supervising operational staff, and ensuring effective communication with clients and vendors. The incumbent will also oversee conference and meeting room bookings, ensuring that all logistical requirements are met. Furthermore, the position requires raising purchase requisitions, developing scopes of work for services, and drafting workflows and operating procedures for the FMU. The incumbent will be expected to perform any other duties as assigned by the Head of FMU.
Required Qualifications: Candidates must possess an advanced university degree in facility management, architecture, building engineering, business or public administration, social science, or a related field. Alternatively, a first-level university degree combined with two additional years of qualifying experience is acceptable. Certification in Quality Management is considered an asset. The position requires a minimum of two years of progressively responsible experience in facility management, operations management, and administration, particularly in the building management or hospitality/conference sectors. Demonstrated supervisory experience is essential, and relevant experience in an international or governmental organization is advantageous.
Educational Background: The educational background required for this position includes an advanced university degree in a relevant field such as facility management, architecture, or business administration. A first-level university degree with additional qualifying experience may also be accepted. Candidates with certifications in Quality Management will have an added advantage in the selection process.
Experience: The position requires a minimum of two years of progressively responsible experience in facility management and operations management. Candidates with a first-level university degree must have at least four years of relevant experience. Supervisory experience is essential, and experience in an international or governmental organization is considered an asset. The role demands a strong understanding of managing soft services and contracts, as well as the ability to work effectively under pressure.
Languages: Proficiency in one of the working languages of the Court, either English or French, is required. A working knowledge of the other language is desirable. Additional Notes: The position is a fixed-term appointment with an initial duration of two years, subject to a six-month probationary period. The minimum net annual salary for this position is €72,066.0
