Job Overview: The Executive Committee (ExCom) Officer plays a vital role in supporting the Secretary General (SG) and the ExCom platform in fulfilling the mandates entrusted by the MSF Movement. This position is essential for ensuring the effective organization and management of ExCom meetings, facilitating communication and collaboration among ExCom members, and maintaining a proactive approach to information management. The ExCom Officer will be responsible for preparing agendas, producing high-quality meeting outcomes, and tracking action items to ensure timely completion. This role requires a strategic mindset, strong organizational skills, and the ability to foster a collaborative work environment within the ExCom platform.
Duties and Responsibilities:
Strategic support to the Executive Committee: The ExCom Officer is responsible for the preparation and follow-up of ExCom platform meetings, including developing agendas, producing high-quality meeting outcomes, and tracking action items. This involves anticipating needs, ensuring relevant information is available, and maintaining a priority timeline for discussions.
ExCom information management and communication linkage: The ExCom Officer serves as the focal point for communication between the SG, ExCom members, and other stakeholders. This includes producing summaries of discussions, capturing meeting outcomes, and ensuring timely communication of decisions.
ExCom-related administrative and logistic support: The ExCom Officer will liaise with logistics teams to prepare for meetings, maintain an updated repository of key documents, and support the SG in managing priorities and communications. Additional tasks may be assigned by the SG as needed.
Required Qualifications: Candidates should possess strong organizational and communication skills, with the ability to manage multiple tasks and prioritize effectively. A strategic mindset and experience in a similar role are essential. Proficiency in information management and the ability to produce high-quality documentation are also required. Candidates should demonstrate a collaborative approach and the ability to work effectively within a team.
Educational Background: A bachelor's degree in a relevant field is required, with a preference for candidates holding advanced degrees in management, international relations, or a related discipline. Additional training or certifications in project management or organizational development would be advantageous.
Experience: Candidates should have a minimum of 5 years of experience in a similar role, preferably within an international organization or humanitarian context. Experience working with executive committees or in high-level administrative support roles is highly desirable. Familiarity with MSF's mission and operations would be a significant asset.
Languages: Fluency in English is mandatory, with proficiency in French being highly desirable. Knowledge of additional languages relevant to MSF's operations would be considered a plus.
Additional Notes: This is a permanent position at 100% workload, with a contract offered in the MSF office of the successful candidate's country of residence at the time of application. The start date is as soon as possible, and the compensation and benefits package will be in accordance with MSF's practices in the relevant entity.
