Job Overview: The Fleet Data Entry Officer will be responsible for entering fleet data and producing reports within an established database system, ensuring the integrity and accuracy of the data entered in accordance with the policies, procedures, and normative guidelines set by the World Food Programme (WFP). The role involves managing various data inputs related to trips, job cards, fuel, and spare parts, and generating timely reports. The officer will also be tasked with ensuring that all relevant documents and data are accurately entered into the system and that any requested data or reports are provided promptly. The position requires a detail-oriented individual who can work under the direct supervision of the Fleet Manager and is capable of performing daily reconciliations and maintaining proper filing systems for efficient retrieval of documents.
Duties and Responsibilities: The Fleet Data Entry Officer will perform a variety of duties including: thoroughly checking the information registered on documents for clarity and correctness before data entry; entering data related to trips, job cards, fuel, and spare parts into the Fleet Management System (FMS); conducting daily reconciliation exercises of all records and transactions; organizing systematic reconciliation of records on a weekly, monthly, quarterly, and annual basis; preparing and checking reports to ensure they are produced accurately and on time; maintaining proper filing systems and archiving documents; creating daily fuel inventory and usage reports; calculating vehicle fuel requirements based on distance and tonnage; managing inventory and usage of bulk fuel supply; liaising with ICT for regular anti-virus updates; performing basic administrative functions on FMS; analyzing data for discrepancies; sharing experiences with team members; performing duties of absent staff; and occasionally traveling within the country as required.
Required Qualifications: The ideal candidate for the Fleet Data Entry Officer position should possess strong analytical and problem-solving skills, the ability to work independently and as part of a team, and a willingness to travel to remote locations. A good working knowledge of Microsoft Office Suite and proficiency in using a computerized Fleet Management System (FMS) are essential. Candidates should have completed at least grade 10 in Mathematics and hold a diploma in Computer Science, Statistics, or a related field. Additionally, at least 2 years of experience in transport operations, preferably in a humanitarian context, is required, along with experience in a similar role such as Data Analyst in a company or NGO.
