Job Overview:
The position of Point Focal SSA is crucial for improving the management of medicines and supplies in emergency programs at the country office in Mali. The incumbent will work under the technical supervision of the Program EPR Team Leader and the Operations Administrator. This role involves defining and supervising the implementation of stock management strategies for medicines and supplies, ensuring compliance with internal procedures, and adapting to the emergency context. The Point Focal SSA will also be responsible for maintaining an updated database of medicines and supplies on the new BMS platform, conducting inventories, and managing expired products. The position requires proactive engagement in logistics planning and execution of emergency operations, including vaccination campaigns and distribution of medical kits.

Duties and Responsibilities:
  • Define and supervise the implementation of stock management strategies for medicines and supplies based on the emergency context and available providers, ensuring adherence to internal procedures.
  • Conduct regular inventories of medicines and logistical materials.
  • Initiate the destruction process for expired medicines.
  • Oversee the migration from the GIMS platform to BMS.
  • Regularly update the stock levels of medicines and supplies in BMS.
  • Develop and implement a strategy for strengthening and pooling logistical capacities with organizational partners.
  • Monitor expiration dates of medicines and alert management about products with less than six months until expiration.
  • Calculate the average monthly consumption of commonly used products and submit proposals for new orders at least six months in advance.
  • Contribute to the effective management of expired products. 1
  • Organize the logistics for distributing emergency medical kits and NFI kits. 1
  • Support logistical planning and implementation of emergency operations and polio vaccination campaigns. 1
  • Assist EPR programs and others in requesting cargo for sending emergency kits, vaccines, and supplies to Bamako and various regions. 1
  • Perform any other tasks assigned by the supervisor.

Required Qualifications:
Essential: A first university degree. Desirable: Knowledge in technology and/or medical logistics. Essential experience includes at least one year of practical experience in administration and medical logistics. Desirable experience includes working with a UN agency or international/multinational organization, with three years of practical experience in administration and medical logistics. Knowledge and experience in managing WHO emergency medical kits is an asset.

Educational Background:
Essential: A first university degree in a relevant field. Desirable: Additional qualifications or certifications in medical logistics or supply chain management would be advantageous.

Experience:
The position requires a minimum of one year of practical experience in administration and medical logistics. Candidates with three years of experience in similar roles, particularly within UN agencies or international organizations, will be preferred. Experience in managing emergency medical supplies is a significant advantage.

Languages:
Essential: Expert level in French. Desirable: Intermediate level in English. Proficiency in additional languages may be beneficial for communication in diverse environments.
