Job Overview:
The Grants Management Assistant will play a crucial role in supporting the Senior Partnership Specialist in maintaining effective partnerships and collaborative alliances, as well as implementing all grant activities associated with the USAID E4 Activity in Tajikistan. This position is integral to the success of the E4 Activity, which aims to enhance employment opportunities and private sector productivity. The Grants Management Assistant will be responsible for ensuring compliance with grant terms and conditions, tracking project milestones, and facilitating communication between staff and partners. The role requires a proactive approach to managing grant documentation and deadlines, as well as a commitment to supporting the overall objectives of the E4 Activity.

Duties and Responsibilities:
The Grants Management Assistant will be tasked with a variety of responsibilities, including:
  • Assisting in the preparation of grant documentation by gathering required documents, forms, and supporting materials.
  • Tracking deadlines and ensuring timely submission of all relevant documents.
  • Conducting preliminary reviews of reports and attachments to ensure completeness and accuracy.
  • Maintaining an organized filing system for all grant-related documents to facilitate easy access and retrieval.
  • Tracking and documenting all correspondence related to each grant, including emails, letters, and meeting notes.
  • Assisting with tracking indicators and ensuring compliance with grant terms and conditions by monitoring timelines and deliverables.
  • Coordinating meetings and communications between staff and partners to ensure alignment and collaboration.
  • Assisting in drafting and editing interim and final grant reports as needed.
  • Coordinating the grant close-out process, ensuring that all necessary documents are available and archived appropriately. 1
  • Preparing records for any potential audits to ensure compliance and transparency.

Required Qualifications:
Candidates must possess at least 2 years of experience working as a grants manager assistant for donor-funded projects. Experience with programs that focus on women, youth, and vulnerable groups is essential. Additionally, candidates should have experience managing multiple activities simultaneously and working effectively within multidisciplinary teams. Strong communication and problem-solving skills are critical, along with a keen attention to detail and organizational abilities. The ability to communicate effectively with a variety of stakeholders is also required.

Educational Background:
While specific educational qualifications are not explicitly stated, a background in fields related to project management, international development, or a similar area would be beneficial for this role. Relevant certifications in grants management or project management may also be advantageous.
