Job Overview: The Staff Assistant (Functional Area Services) position is integral to the administration and operation of the G7 Functional Area Services (FAS), particularly the Joint Exercise Management Module (JEMM). The incumbent will be responsible for ensuring the proper functioning of these services, which are essential for the planning and execution of military exercises and training programs. This role involves training personnel on the principles and operations of G7 FAS, providing advice to users, and coordinating formal training for G7 personnel on JEMM. The Staff Assistant will also assist in scripting exercises and creating critical lists such as the Main Event List (MEL) and Main Incident List (MIL). The position requires a proactive approach to ensure that all training and exercise activities meet NATO standards and contribute to the overall operational capability of the HQ.
Duties and Responsibilities: The incumbent's primary duties include:
Ensuring the proper operation of the G7 Functional Area Services (FAS), with a focus on the Joint Exercise Management Module (JEMM).
Administering accounts and users of the Functional Area Services.
Making inputs and operating JEMM effectively.
Training personnel on the principles, flows, and operations of G7 Functional Area Services.
Providing advice to users of G7 FAS upon request.
Coordinating and monitoring the formal individual training of G7 personnel on JEMM.
Assisting in the scripting of exercises to ensure they meet operational requirements.
Assisting in the creation of the Main Event List (MEL) and Main Incident List (MIL).
Performing similar duties elsewhere within the organization at the same grade as required. 1
Potentially deploying for up to six months within an eighteen-month period, depending on operational needs.
Required Qualifications: Candidates must possess a combination of professional experience and educational qualifications. Specifically, they should have expertise in information or communications technology, digital working, and methodologies relevant to the role. The skill level required is at the 'Assist' level, meaning the incumbent will work under routine direction, using limited discretion in resolving issues. They should demonstrate effective communication skills, the ability to work in a team, and the capability to plan and monitor their work effectively. Candidates should also be able to absorb new information and apply it systematically.
Educational Background: The educational requirements for this position include either:
Higher Secondary education with intermediate vocational training leading to a formal qualification, accompanied by 2 years of relevant experience; or
Secondary education with completed advanced vocational training leading to a professional qualification or accreditation, along with 4 years of post-related experience. In cases of ambiguity, job-specific experience takes precedence over standard educational qualifications.
Experience: Candidates should have a minimum of 2 years of relevant experience if they have higher secondary education or 4 years if they have secondary education with advanced vocational training. This experience should be related to the duties and responsibilities outlined for the Staff Assistant role, particularly in areas related to training, exercise management, and operational support within a military or similar environment.
Languages: The mandatory language requirement for this position is English, specifically at the SLP 3322 level, which encompasses listening, speaking, reading, and writing. Given that the work environment is predominantly English-speaking, proficiency in this language is essential for effective communication and collaboration within the HQ.
Additional Notes: The successful candidate will receive a three-year definite duration contract, which may transition to an indefinite duration contract based on performance. The first six months of employment will serve as a probationary period, during which the incumbent's performance will be evaluated. Additionally, candidates must be nationals of a NATO member country, aged between 21 and 60 at the time of appointment, with some exceptions for candidates over 6
The position may require regular travel and deployment to a combat environment.
