Job Overview:
The Administration Officer at the Pakse office of WWF Laos plays a crucial role in supporting the administrative and logistical functions of the organization. This position is vital for ensuring that the projects managed by the Pakse office are implemented effectively and in compliance with WWF's operational systems, policies, and procedures. The officer will assist in various aspects of administration, logistics, and procurement, contributing to the overall success of the projects. Duties and Responsibilities:
The Administration Officer will be responsible for a wide range of duties, including but not limited to: supporting all aspects of project office administration and logistics; managing office properties and ensuring maintenance schedules are followed; conducting annual inventory checks; ensuring office safety and security through regular checks; managing project vehicles and maintaining accurate logbook records; supporting project procurement in compliance with established policies; providing training to staff and partners on administration and logistics; facilitating meetings, workshops, and training courses; building and maintaining networks with local authorities and communities; providing input for communication products; assisting with logistical arrangements for trainings and field activities; and offering operational and technical support to the project team as needed.
Required Qualifications:
Candidates must possess a Bachelor’s degree in finance and accounting, business management, English, or a related field. Additionally, they should have at least three years of practical experience in project finance, office and asset management, administration, or accounting, preferably within NGOs or bilateral development agencies. The ideal candidate should be a good team player with a service-oriented mindset, possess strong communication and negotiation skills, and demonstrate fluency in both written and spoken English and Lao languages. A proven ability to work independently while adhering to organizational policies and regulations is essential, along with a willingness to learn and develop professionally.
Educational Background:
A Bachelor’s degree in finance and accounting, business management, English, or other relevant fields is required for this position. This educational background provides the necessary foundation for understanding the financial and administrative aspects of project management, which are critical for the role of Administration Officer.
Experience:
The position requires a minimum of three years of relevant experience in project finance, office and asset management, administration, or accounting. This experience should ideally be gained in a non-governmental organization (NGO) or a bilateral development agency, where the candidate has developed skills in managing administrative tasks and supporting project implementation.
Languages:
Fluency in both written and spoken English and Lao languages is mandatory for this position. Proficiency in these languages is essential for effective communication with team members, stakeholders, and local communities. Additional language skills may be considered an asset but are not required.
