Job Overview: The Programme Associate position is crucial for supporting the Integrated Programming Unit (IPU) within UN Women Afghanistan. The role involves providing administrative, operational, and programmatic support to ensure effective program development and implementation in line with UN Women’s rules and regulations. The Programme Associate will work closely with the IPU team, assisting in research, financial management, and program implementation. This includes compiling documentation for program monitoring and reporting, coordinating with various stakeholders, and ensuring compliance with financial processes. The position requires a proactive approach to managing program actions, deadlines, and documentation, as well as maintaining updated records in relevant corporate systems. The Programme Associate will also support the organization of training sessions and knowledge sharing initiatives within the Country Office.
Duties and Responsibilities:
Provide administrative and program support for the formulation and management of the Integrated Programme Unit, including logistical support for workplans, budgets, and proposals.
Compile documentation for program implementation, monitoring, and reporting.
Support program teams with routine administrative requirements related to program delivery.
Coordinate the collection of program and partner documentation for audits and follow up on audit actions.
Gather data and background information for reports and presentations.
Maintain updated partner records in PGAMS and other systems.
Provide financial management support, including project creation, budget revisions, and payment processing.
Monitor program budgets and expenditures, preparing financial information for management review.
Coordinate logistical arrangements for meetings, workshops, and events. 1
Compile documentation for donor agreements and track contributions and reporting deadlines. 1
Support knowledge building by compiling lessons learned and organizing training sessions.
Required Qualifications:
Completion of secondary education is required.
A Bachelor’s degree in business or public administration is desirable.
At least six years of progressively responsible experience in administration or program management/support is required.
Experience in a computer environment using multiple office software packages is required.
Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is desirable.
Experience in supporting a team and in events management is also desirable.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. However, a Bachelor’s degree in business or public administration is preferred, indicating a higher level of academic achievement and understanding of administrative processes.
Experience: Candidates should have at least six years of progressively responsible experience in administration or program management/support. This experience should include working in a computer environment with multiple office software packages and familiarity with modern web-based ERP systems, preferably Oracle Cloud. Experience in supporting a team and managing events is also beneficial, as it demonstrates the ability to handle various administrative tasks effectively.
Languages: Fluency in English is required, along with fluency in Dari and/or Pashto. Knowledge of another UN official working language such as French, Arabic, Chinese, Russian, or Spanish is desirable, which would enhance communication capabilities within the international context of UN Women’s operations.
