Job Overview:
The Project Assistant will play a crucial role in providing administrative, logistical, and clerical support for the implementation of activities under the Pandemic Fund Project in North Macedonia. This position requires ensuring the timely organization, coordination, documentation, and administrative management of project activities, workshops, technical consultations, missions, and procurement processes in accordance with WHO rules and procedures. The Project Assistant will also support coordination with related health system resilience, Universal Health Coverage (UHC), and health security" style="border-bottom: 1px dotted #007bff !important;">security processes. The role involves working closely with various stakeholders, including government institutions and implementing partners, to facilitate effective communication and collaboration.

Duties and Responsibilities:
The Project Assistant will be responsible for a variety of tasks, including:
  • Providing administrative and logistical support for the implementation of the National One Health Surveillance Strategy and TTX SiMex activities.
  • Coordinating administrative communication with the Ministry of Health, Institute of Public Health, Veterinary Agency, Food and Veterinary Agency, Ministry of Agriculture, Environment, and other national institutions and partners.
  • Supporting the planning, organization, and implementation of technical meetings, workshops, consultations, missions, and simulation exercises, including preparing agendas, invitations, participant lists, meeting materials, and minutes.
  • Liaising with government institutions, implementing partners, and consultants to facilitate administrative coordination and follow-up on agreed actions.
  • Supporting procurement, travel arrangements, consultant administration, and other operational processes in accordance with WHO procedures.
  • Monitoring and following up on agreed actions, timelines, deliverables, and reporting requirements arising from meetings and consultations.
  • Maintaining project documentation, filing systems, activity trackers, and supporting records, and contributing to routine implementation and donor reporting.
  • Providing administrative and coordination support for related WHO-supported activities aimed at strengthening health system resilience, advancing UHC, and enhancing health security in primary health care.

Required Qualifications:
The ideal candidate should possess the following qualifications:
  • Essential: Equivalent to graduation from secondary school or equivalent technical or commercial school.
  • Desirable: Higher education degree.
  • Essential: At least 3 years of relevant experience in the administrative field, with proven experience in administrative support functions.
  • Experience in document management and organization of meetings and workshops is required.
  • Strong organizational, communication, and interpersonal skills are essential.
  • Ability to work independently and maintain confidentiality is crucial.
  • Proficient in written and spoken English and Macedonian.
  • Desirable: Relevant experience in the UN system or an international working environment/institution.

Educational Background:
Candidates must have completed secondary education or equivalent technical or commercial schooling. A higher education degree is desirable, which would enhance the candidate's qualifications for the role.

Experience:
Candidates should have a minimum of 3 years of relevant experience in administrative roles. This experience should include proven administrative support functions, document management, and the organization of meetings and workshops. The ability to work independently and maintain confidentiality is also essential, along with strong organizational and communication skills.

Languages:
Proficiency in written and spoken English and Macedonian is mandatory for this position. Knowledge of additional languages may be considered an asset but is not required.

  • The Project Assistant will work full-time at the WHO Country Office premises in North Macedonia and will participate in relevant meetings, workshops, consultations, and other project-related activities as required. The remuneration for this position is approximately MKD 108,771 monthly, excluding travel costs. This vacancy notice may also be used to identify candidates for other similar special services agreements at the same level.
