Job Overview:
The Asistente Cadena de Suministro (Retail) position at WFP involves providing technical, operational, and administrative support to field offices in implementing the Market-Based Assistance (ABM) program. The role is crucial in managing billing and financial processes, monitoring operational indicators, and ensuring compliance with policies and procedures. The incumbent will work closely with the Supply Chain Officer to ensure efficient and timely delivery of food assistance to beneficiaries. This position requires a proactive approach to addressing field office requests and maintaining effective communication to facilitate operational activities. The Asistente will also be responsible for data management, reporting, and supporting supplier management and development, contributing to the overall efficiency and continuity of supply chain operations.

Duties and Responsibilities:
  • Provide specialized technical support to Market-Based Assistance (ABM) operations and activities, ensuring efficient and timely delivery of food assistance to beneficiaries.
  • Address field office requests proactively, ensuring timely and accurate responses aligned with quality standards, maintaining effective communication for operational execution.
  • Manage administrative and financial processes related to operations, including billing, budget tracking, and operational progress management; prepare periodic reports on distributed tonnages and operational projections.
  • Monitor and track invoices through the Invoice Tracking System (ITS), ensuring compliance with corporate procedures and standards, and maintaining proper payment process traceability.
  • Analyze the operational pipeline and support ABM operations planning, contributing to performance indicator monitoring (KPI), local purchase traceability, and supply chain requirements integration.
  • Maintain and update databases and records of purchases and suppliers, ensuring information accuracy, integrity, and accessibility, as well as compliance with institutional reporting requirements.
  • Support the organization of training for suppliers and implementing partners, and prepare clear, accurate, and timely reports that include relevant analysis for decision-making.
  • Strengthen the supplier roster by identifying and incorporating new actors, and monitor supplier performance evaluations.
  • Perform any other responsibilities as assigned.

Required Qualifications:
Education: A university degree in Economics, Logistics, Marketing, Statistics, Business Administration, or any other relevant field. Experience: A minimum of 3 years of work experience in the public or private sector, with at least 1 year of post-graduate experience related to the functions of the position. Experience in program implementation, project management, and/or logistics operations is essential. Desirable experience in projects with international organizations or in the humanitarian sector. Skills: Proficiency in basic digital tools (Excel, Word, data collection platforms desirable). Ability to collect, systematize, and analyze information. Strong knowledge of MS Office tools, particularly Microsoft Excel and PowerPoint.

Educational Background:
A university degree in a relevant field such as Economics, Logistics, Marketing, Statistics, or Business Administration is required for this position. This educational background provides the necessary foundation for understanding the complexities of supply chain management and operational logistics within the humanitarian context.

Experience:
The position requires a minimum of 3 years of relevant work experience, with at least 1 year of experience in a role directly related to the responsibilities of the Asistente Cadena de Suministro. Candidates should have experience in program implementation, project management, and logistics operations, preferably within the humanitarian sector or with international organizations.

Languages:
Fluency in Spanish (level C) is mandatory, and proficiency in English is desirable. This language requirement ensures effective communication within the organization and with external partners, as well as the ability to understand and implement documentation and reporting standards.
