Job Overview: The Chargé(e) d’Administration plays a crucial role in maintaining operational efficiency and ensuring compliance with project standards under the direct supervision of the director" style="border-bottom: 1px dotted #007bff !important;">Deputy Director of Operations and Finance. This position is responsible for the optimal functioning of the field office and provides necessary logistical and administrative support for the effective deployment of emergency interventions. The role involves executing advanced administrative tasks, coordinating meetings, managing communications, and developing improved administrative procedures to ensure timely processing and submission of all administrative deliverables. The Chargé(e) d’Administration must demonstrate attention to detail and the ability to work both independently and as part of a team on ongoing and special projects.
Duties and Responsibilities: The duties and responsibilities of the Chargé(e) d’Administration include executing advanced administrative tasks, reviewing data for completeness and accuracy, coordinating meetings and logistics, ensuring timely communication, developing administrative procedures, responding to administrative support requests, maintaining records, preparing reports and presentations, managing incoming and outgoing mail, and liaising with internal and external personnel. The role also involves planning and organizing complex activities such as meetings, travel, and conferences, handling confidential information, proofreading documents, drafting minutes, coordinating special projects, assisting in financial tracking, and maintaining databases and spreadsheets as required by management. The Chargé(e) d’Administration must ensure compliance with organizational policies and procedures and contribute to the overall effectiveness of the organization.
Required Qualifications: Candidates must possess a deep understanding of the specialization area and the program's procedures, methods, and practices. They should be proficient in using established data management systems and possess a thorough understanding of the software used in daily functions. Clear communication skills are essential for conveying information to staff, clients, and the public regarding services and procedures. Attention to detail and the ability to execute tasks accurately are critical for success in this role.
Educational Background: A minimum of an associate degree or equivalent international qualification in business administration or a related field is required. A bachelor's degree is preferred, which would provide a stronger foundation for the responsibilities of the position.
Experience: Candidates should generally have at least five years of relevant experience in international organizations. Experience in tracking expenditure to meet organizational goals and ensure compliance is essential. Previous work experience within a non-governmental organization or an international organization is an asset, and experience in a scientific or health-related field is desirable.
Languages: Fluency in French is mandatory, and proficiency in English is considered a valuable asset for this position, as it may involve communication with international stakeholders and partners.
