Job Overview:
The Property Management Assistant position is designed to support the Property Management Unit in a variety of essential functions related to property management. The incumbent will be involved in day-to-day activities, assisting sub-unit supervisors and the Chief of the Unit. This role requires a proactive approach to managing property assets, ensuring compliance with established guidelines, and maintaining accurate records. The assistant will participate in physical verification of equipment, assist in report preparation, and ensure that all property is properly tagged and recorded. The position is expected to last for a duration of nine months, during which the assistant will play a crucial role in maintaining the integrity of property management processes within the organization.

Duties and Responsibilities:
The duties and responsibilities of the Property Management Assistant include: participating in periodic physical verification and counting of equipment to ensure accuracy of records; assisting in the preparation and dissemination of various reports related to property management; ensuring compliance with UN property management guidelines by tagging and bar-coding equipment; supporting the assignment and installation of equipment; managing an electronic database of non-expendable property; analyzing inventory control activities and suggesting improvements; providing support for furniture and equipment maintenance; compiling data for property insurance; maintaining up-to-date records of property custodians; drafting correspondence for supervisor; training outsourced staff in verification tasks; and performing other related duties as required. The role demands attention to detail, organizational skills, and the ability to work collaboratively with various departments.

Required Qualifications:
The required qualifications for the Property Management Assistant position include a High School Diploma and a minimum of five years of progressively responsible experience in supply chain management, business administration, accounting, or IT. Additional training in IPSAS and Umoja property management and logistics is desired. A degree in Procurement, Business Administration, or Accounting is also preferred. Candidates should demonstrate a strong understanding of property management principles and practices, as well as the ability to work effectively in a team environment.

Educational Background:
Candidates for the Property Management Assistant position are required to have a High School Diploma. However, additional qualifications such as a degree in Procurement, Business Administration, or Accounting are highly desirable. This educational background will provide the necessary foundation for understanding the complexities of property management and supply chain processes within the organization.

Experience:
The position requires a minimum of five years of progressively responsible experience in fields related to supply chain management, business administration, accounting, or IT. Experience specifically in inventory, warehouse, and property management is highly desirable. This level of experience ensures that the candidate is well-equipped to handle the responsibilities associated with managing property assets effectively and efficiently.

Languages:
Fluency in oral and written English is mandatory for this position, as English is one of the working languages of the United Nations Secretariat. Excellent writing skills in English are essential. Knowledge of French or another official United Nations language is considered an advantage, as it may facilitate communication within the diverse linguistic environment of the organization.
