Job Overview:
The Gifts Processing Manager plays a crucial role within the fundraising Systems team at MSF Canada, reporting directly to the Senior Manager of Fundraising Systems. This position is responsible for overseeing all aspects of offline and selected online donation processing, ensuring that data entry is timely, accurate, and donor-centered. The manager will lead a team of two data entry coordinators and will be instrumental in maintaining data integrity, supporting financial reconciliation, and ensuring the smooth flow of various types of gifts, including cheques, wire transfers, share donations, and other offline contributions. Additionally, the Gifts Processing Manager will act as the primary operational lead for the organization’s data-entry services partner, KCK, ensuring a consistent and high-quality collaboration across all shared processes. This role also involves liaising with other MSF departments, including Finance and Office Administration, to support various campaign analyses, systems, and reporting.

Duties and Responsibilities:
The Gifts Processing Manager will be responsible for managing the end-to-end processing of offline gifts, which includes cheques, wire transfers, share donations, cash gifts, corporate and foundation gifts, and third-party submissions. They will oversee donor record accuracy and ensure gift batch completeness in the CRM, while also ensuring proper coding, documentation, and the entire tax receipting process. The manager will support reconciliation and data quality for online donations and serve as the primary point of contact for the external data-entry partner, KCK. Daily operations, performance standards, and service-level expectations will be overseen by the manager, who will ensure adherence to data standards and quality-control protocols. Regular audits will be conducted to maintain accuracy and compliance, and the manager will identify workflow efficiencies and modernization opportunities. They will also maintain and update Standard Operating Procedures, support new systems and integrations, coordinate with Finance on reconciliation and reporting, and assist Donor Relations with acknowledgements and stewardship. Furthermore, the Gifts Processing Manager will lead the hiring and development of team members, oversee daily workload distribution, conduct regular check-ins and performance evaluations, and ensure responsible use of resources.

Required Qualifications:
Candidates for the Gifts Processing Manager position should possess strong interpersonal and communication skills, with the ability to build relationships with diverse donors. Education or training in fundraising, gift processing, or a combination of training and relevant experience is required. The ideal candidate should be detail-oriented, organized, and capable of managing multiple projects simultaneously. Experience with Raiser’s Edge / RE NXT or similar CRM systems is essential, along with familiarity with philanthropic environments or nonprofit fundraising best practices. The successful candidate should demonstrate a commitment to MSF’s principles and values, and possess the core competencies necessary for the role.

Educational Background:
A relevant educational background in fundraising, gift processing, or a related field is required for the Gifts Processing Manager position. This may include formal education, certifications, or training that equips the candidate with the necessary skills and knowledge to effectively manage donation processing and data integrity.

Experience:
The Gifts Processing Manager should have a significant level of experience in fundraising, gift processing, or a related area. This includes hands-on experience with donation processing systems, data management, and team leadership. The candidate should be adept at navigating complex data environments and have a proven track record of managing multiple projects and teams effectively.

Languages:
Proficiency in English is mandatory for this position. Additional language skills may be considered an asset, particularly in a multicultural environment where diverse donor relationships are essential.

Additional Notes:
The Gifts Processing Manager position is a permanent, full-time role with an activity rate of 100%, requiring 37.5 hours of work per week. The salary for this position is set at Level 16 on the MSF Canada Salary Grid, amounting to $87,850, which is non-negotiable. The work is generally carried out during the day, Monday to Friday, with a hybrid work model allowing for 60% in-office work and up to 40% remote work. Candidates must be legally authorized to work in Canada, as MSF Canada is unable to support work permit processes for applicants outside of Canada.
