Job Overview: The Senior Team Assistant will provide high-quality administrative support to ensure the smooth operation of the Office, Department, and/or Unit. This role is crucial for enabling upward reporting lines to focus on strategic priorities. The successful candidate will manage complex calendars and meetings, prepare and control official documents and correspondence, support procurement, budget, and travel workflows, coordinate events and missions, and maintain reliable records and information systems with discretion and professionalism. The position requires a commitment to tackling complex global climate change challenges and making a positive, measurable difference through a mission-driven role. Duties and Responsibilities: The Senior Team Assistant will manage calendar and workflow processes for managers and staff, facilitating complex scheduling and preparing meeting packs and briefing materials. Responsibilities include drafting, editing, formatting, and proofreading letters, memos, minutes, briefs, presentations, and official correspondence to meet organizational standards. The role involves coordinating operational processes, including support for procurement, budget administration, expenses, and travel logistics. The assistant will plan and deliver logistics for meetings, missions, workshops, and Board publication cycles. Additionally, the position requires managing office records through orderly digital filing and maintaining trackers and dashboards for work, budgets, and KPIs. The candidate will operate within established administrative policies, anticipate conflicts, propose process improvements, and facilitate liaison with internal and external stakeholders while maintaining confidentiality. The role demands on-time delivery of meetings and documentation packages, accurate records, and stakeholder satisfaction with coordination and responsiveness.
Required Qualifications: Candidates must possess a Bachelor’s degree in Business, Administration, Public Administration, Social Sciences, Management, or a related field. Formal training in administrative, secretarial, or operational services is desirable. A minimum of 3 years of relevant experience is required, preferably with an international organization and in a multicultural setting. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and experience with databases, tracking sheets, SharePoint, and document management are essential. Strong interpersonal skills, cultural sensitivity, and the ability to multitask under pressure with accuracy are necessary. Candidates must demonstrate a proactive, organized, and detail-oriented approach, with the ability to observe strict confidentiality and integrity.
Educational Background: The position requires a Bachelor’s degree in a relevant field such as Business, Administration, Public Administration, Social Sciences, Management, or a related discipline. Additional formal training in administrative or operational services is considered an asset, enhancing the candidate's qualifications for the role.
Experience: The ideal candidate should have a minimum of 3 years of relevant experience in administrative support roles, preferably within international organizations. Experience in multicultural settings is highly valued, as it demonstrates the ability to navigate diverse work environments and collaborate effectively with individuals from various backgrounds.
Languages: Fluency in English is required for this position. Knowledge of another UN language is considered an advantage, and proficiency in Korean may be desirable depending on the specific needs of the office or department.
