Job Overview:
The Project Support Assistant will play a vital role in supporting the planning and organization of project activities within the ILO's framework in Gaza. This position is crucial for maintaining effective communication with project partners and managing various financial and administrative tasks. The assistant will be responsible for ensuring that project activities are implemented smoothly and efficiently, addressing any administrative issues that may arise during the process. The role requires a proactive approach to assist in the preparation of project documentation, work plans, budgets, and reports, ensuring compliance with ILO rules and regulations. The assistant will also coordinate meetings and communications among project staff and stakeholders, contributing to the overall success of the ILO's initiatives in the region.

Duties and Responsibilities:
The Project Support Assistant will be responsible for a range of duties including: drafting standard correspondence and formatting various project-related documents; providing logistical support for meetings, seminars, and workshops; preparing necessary procurement documents in line with ILO regulations; assisting in the daily follow-up of project activities and resolving administrative issues; preparing project documentation, work plans, budgets, and financial reports; processing administrative arrangements for official travel; coordinating communications and meetings among project staff; maintaining files, databases, and official records; searching for and selecting relevant information for officials; processing transactions in the ILO's IRIS system; developing a comprehensive filing system for project documentation; and performing other related duties as required.

Required Qualifications:
Candidates must have completed secondary school education. They should possess at least three years of experience in general office management and clerical support work. Proficiency in basic computer software such as Microsoft Word, PowerPoint, Excel, and Adobe Reader is essential. Candidates should demonstrate the ability to organize their work, prioritize assignments, and adapt to changing demands. Strong oral and written communication skills, customer service skills, and attention to detail are also required. Knowledge of administrative document preparation and filing systems is necessary, along with the ability to work effectively in a team and manage a heavy workload under pressure.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. Further qualifications or certifications in office management or related fields may be advantageous but are not explicitly required.

Experience:
Candidates should have a minimum of three years of relevant experience in general office management and clerical support. This experience should demonstrate the ability to handle administrative tasks efficiently and effectively, as well as the capacity to work in a fast-paced environment while managing multiple responsibilities.

Languages:
Excellent knowledge of English is mandatory, along with a good working knowledge of Arabic. Proficiency in additional languages may be considered an asset but is not required for this position.

Additional Notes:
This position is a fixed-term contract for one year, with the possibility of extension based on funding availability, ongoing need for the role, and satisfactory performance.
