Job Overview:
The Administrative Assistant for Child Protection will play a crucial role in supporting the action 'Strengthening protection systems for unaccompanied migrant children and vulnerable female applicants and beneficiaries of international protection II'. This initiative, funded by the National Development Program 2026-2030, aims to provide targeted care interventions for unaccompanied children (UMC) and other vulnerable individuals residing in Greece. The successful candidate will be responsible for coordinating administrative and financial activities related to this action, ensuring that all operations run smoothly and efficiently. This position requires a proactive approach to managing administrative tasks, maintaining accurate records, and supporting the implementation of project activities in collaboration with IOM's implementing partners. The role also involves direct interaction with vulnerable populations, necessitating a compassionate and professional demeanor.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Assistant include monitoring and supporting the administrative and financial operations of the assigned facility, performing various administrative tasks, maintaining accurate records of expenses, and ensuring proper documentation for implementing partners. The assistant will assist in developing, revising, and implementing project Standard Operating Procedures (SOPs) and operational guidelines for field staff. They will keep records of all deliverables completed at the field level, ensure timely submission of documentation to the Project Manager, and maintain accurate records of Non-Food Items (NFIs) in storage. The role also involves assisting with the distribution of basic goods to beneficiaries, monitoring staff attendance and annual leaves, and ensuring proper documentation in IOM systems. The assistant will conduct regular site visits to monitor administrative tasks, assist in procurement procedures, and maintain close coordination with the Budget Monitoring & IP Control Unit. Additionally, they will monitor vendor performance for various services provided in the facilities and perform quality checks, communicating any shortfalls with the IOM office.

Required Qualifications:
Candidates must possess a university degree from an accredited academic institution in social sciences, along with one year of relevant working experience, or a high school degree/certificate with at least three years of relevant working experience. Previous experience in a similar role is preferred, particularly familiarity with direct assistance to migrants and/or refugees, and experience working with children is advantageous. Candidates should demonstrate strong organizational, facilitation, communication, writing, and presentation skills, as well as computer literacy in standard software applications such as MS Office. A valid driver's license with at least five years of driving experience is also an advantage. Personal commitment, efficiency, and flexibility are essential attributes for this role.

Educational Background:
The educational background required for this position includes a university degree from an accredited institution in social sciences or a related field. Accredited universities are those listed in the UNESCO World Higher Education Database. Alternatively, candidates with a high school degree or certificate may apply if they have at least three years of relevant working experience. This educational foundation is crucial for understanding the complexities of migration and child protection issues.

Experience:
The level of experience needed for this position includes at least one year of relevant working experience for candidates with a university degree, or a minimum of three years of relevant experience for those with a high school diploma. Previous experience in a similar role is preferred, particularly in contexts involving direct assistance to migrants and refugees. Experience working with children and in multicultural environments is also advantageous, as the role requires sensitivity and understanding of diverse backgrounds and needs.

Languages:
Fluency in Greek and English is required for this position, both oral and written. All IOM staff members are required to be fluent in one of the organization's official languages, which include English, French, and Spanish. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments. Additional language skills may be considered an asset but are not mandatory.
