Job Overview: The Project Assistant (Climate Mobility Communications) will work under the overall supervision of the Chief of Mission and the direct supervision of the Programme Officer (Migration and Climate Change) or designated Programme Manager. This role involves providing clerical and administrative support for communications, media, visibility, and outreach activities related to the Pacific Climate Mobility Partnerships Programme (PCMP). The incumbent will assist in the preparation of communication products, digital content, event visibility materials, and outreach activities that promote awareness of climate mobility priorities and programme achievements across the Pacific region. The position is based in Suva, Fiji, and supports the implementation of climate mobility-related programmes, working closely with various stakeholders including implementing partners, government counterparts, and regional organizations to disseminate approved programme information and communication materials. The Project Assistant will also be responsible for monitoring and updating media, communications, and visibility materials under the Climate Mobility Unit, ensuring effective administrative coordination for project implementation, and drafting routine documentation such as status reports and presentations.
Duties and Responsibilities: The duties and responsibilities of the Project Assistant include providing clerical assistance in the implementation of the Pacific Climate Mobility Partnerships Programme and other related Climate Mobility programme activities. The incumbent will retrieve, compile, summarize, and present information/data related to media, communications, and visibility activities. They will assist in monitoring and updating media, communications, and visibility materials under the Climate Mobility Unit. The role also involves supporting administrative coordination for project implementation, processing routine administrative requests, maintaining records, and following up on administrative actions related to media and communications activities. The Project Assistant will draft routine status reports, correspondence, briefing notes, graphics, statistical tables, presentations, and other forms of documentation using established templates and guidance. Additionally, they will support the organization of media and communications coverage for meetings, workshops, and training sessions, respond to general information requests and inquiries, and set up and maintain SharePoint folders, filing systems, media tracking records, and communications materials such as pictures and videos. Other related duties may be assigned as necessary.
Required Qualifications: The position requires a high school diploma with three years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, Media and Communications, International Relations, Development Studies, Migration Studies, Human Rights, Law, Journalism, or related fields from an accredited academic institution with one year of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. Experience providing administrative or clerical support is an advantage, as is experience supporting communications, media, events, or outreach activities. Prior work experience with international humanitarian organizations, non-governmental or government institutions/organizations in a multi-cultural setting is also considered an advantage.
Educational Background: Candidates must possess a high school diploma or a Bachelor’s degree in relevant fields such as Political or Social Sciences, Media and Communications, International Relations, Development Studies, Migration Studies, Human Rights, Law, Journalism, or related fields from an accredited academic institution. The educational qualifications must be from institutions recognized by the UNESCO World Higher Education Database, ensuring that the candidates have received a quality education that meets international standards.
Experience: The ideal candidate should have at least three years of relevant experience if they hold a high school diploma, or one year of relevant professional experience if they possess a Bachelor’s degree. Experience in providing administrative or clerical support is advantageous, as well as experience in supporting communications, media, events, or outreach activities. Prior work experience with international humanitarian organizations or in a multi-cultural setting is also beneficial, as it demonstrates the candidate's ability to navigate diverse environments and work effectively with various stakeholders.
Languages: Fluency in English is required for this position, both oral and written. All IOM staff members are required to be fluent in one of the IOM's official languages, which include English, French, and Spanish. Additionally, a working knowledge of one Pacific language is desirable, as it may enhance communication with local communities and stakeholders. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments to ensure candidates meet the necessary language skills for effective communication in their role.
Additional Notes: The position is subject to funding confirmation, and any offer made to the candidate is contingent upon this. The selection process may be used to staff similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months.
