Job Overview: The Program ManagementCoordinator (PMC) plays a pivotal role in the coordination and management of the country program portfolio for Relief International in the Philippines. Reporting directly to the director" style="border-bottom: 1px dotted #007bff !important;">Country Director, the PMC serves as a central point of coordination across various program and support functions, ensuring that priorities, commitments, risks, and actions are clearly identified, tracked, and executed. This role is designed to enhance the day-to-day operational coordination and provide the Country Director with insights into key priorities, challenges, and areas that require attention. By facilitating effective internal coordination, the PMC enables the Country Director to focus on strategic aspects such as donor engagement, external representation, partnerships, and business development. The PMC will work independently within agreed priorities, maintaining management systems and trackers, following up on actions, and identifying issues that require escalation. The position operates in a complex environment with multiple projects and stakeholders, necessitating strong relationship-building and problem-solving skills.
Duties and Responsibilities: The Program Management Coordinator will be responsible for organizing and facilitating regular internal coordination meetings involving Project Managers, Support Unit Heads, and other relevant colleagues. This includes developing meeting agendas focused on priorities, decisions, and risks, and maintaining a centralized action tracker to ensure follow-up on agreed actions. The PMC will identify and escalate unresolved issues to the Country Director, promote effective communication between program and support functions, and maintain visibility over key program and operational priorities. Additionally, the PMC will establish systems for tracking decisions and commitments, support problem-solving among teams, and provide concise updates to the Country Director on outstanding issues and critical decisions. The role also involves supporting risk identification and management, consolidating program information, and maintaining documentation related to program development and proposal processes. The PMC will assist in preparing management-level updates and decision-making tools for the Country Director, ensuring that all actions are aligned with the organization's strategic goals.
Required Qualifications: Candidates must possess a bachelor's degree in international development, humanitarian studies, social sciences, business or public administration, management, development communication, or a related field. A minimum of five years of progressively responsible experience in program coordination, project management, or operations coordination within the humanitarian or development sector is required. Demonstrated experience in coordinating across multiple projects and functions in a fast-paced environment is essential, along with a proven track record in supporting program delivery and managing operational risks. Familiarity with program development processes, including proposal planning and documentation, is also necessary. Strong organizational, analytical, and problem-solving skills are critical, as well as the ability to influence and promote accountability without direct supervisory authority.
Educational Background: The educational background required for this position includes a bachelor's degree in relevant fields such as international development, humanitarian studies, social sciences, business or public administration, management, or development communication. A higher degree in these areas may be advantageous but is not mandatory. The emphasis is on having a solid foundation in the principles of program management and coordination within the context of humanitarian and development work.
Experience: The position requires at least five years of relevant experience in program coordination, project management, or operations within the humanitarian or development sectors.
