Job Overview: The Programme Associate position is crucial for supporting the planning, implementation, and monitoring of UNFPA’s programmatic portfolio in Kenya. This role involves working closely with the UNFPA team and relevant partners to ensure effective implementation and monitoring of interventions. The Programme Associate will contribute to the advancement of UNFPA's objectives related to the Unit’s portfolio, ensuring compliance with established procedures and timely delivery of results. The incumbent will play a key role in generating substantive knowledge by compiling, synthesizing, and analyzing relevant information, thereby facilitating effective program implementation. The position requires maintaining collaborative relationships with all programme and Operations staff in the office, fostering effective communication and coordination within the country office, and contributing to the achievement of UNFPA's strategic objectives.
Duties and Responsibilities: The Programme Associate will be responsible for a variety of tasks, including:
Programme Implementation Support: Participating in the formulation of the country programme by gathering relevant information, drafting project documents and work plans, and preparing statistical data. Assisting in the development, implementation, and monitoring of programs and initiatives aligned with UNFPA's strategic goals. Contributing to data collection and analysis to inform program decision-making. Preparing reports, presentations, and communication materials for stakeholders. Providing administrative and logistical support to programme teams, including travel arrangements and events coordination.
Budget Support and Financial Monitoring: Assisting in the preparation and analysis of programme/project budget proposals, reviewing submissions, and ensuring compliance with budget guidelines. Monitoring and evaluating programmes/projects, tracking data related to outputs and resources utilized, and preparing revised budget estimates. Collaborating with programme/project managers on performance reporting and ensuring accuracy of data submitted.
Implementing Partner (IP) Management Support: Assisting in the preparation of partner agreements and financial reports, ensuring compliance and quality assurance of the assigned portfolio. Maintaining records of partner agreements and coordinating communication between implementing partners and the office. Supporting capacity-building activities for Implementing Partners as required.
Performing any other duties as assigned by the supervisor or designated authority.
Required Qualifications: Candidates must possess a Bachelor’s degree in public administration, business, social sciences, or a related field. They should have at least 6 years of relevant experience in programme/project management, with a strong background in administration, finance, and project management. Proficiency in current office software applications, web-based management, and ERP systems is essential. Experience with UNFPA systems and inter-UN coordination is highly desirable. Candidates should demonstrate a commitment to UNFPA's mission and values, including integrity, cultural diversity, and adaptability to change.
Educational Background: The educational requirement for this position is a Bachelor’s degree in a relevant field such as public administration, business, social sciences, or a related discipline. This educational background provides the foundational knowledge necessary for understanding the complexities of programme management and the operational environment of UNFPA.
Experience: The position requires a minimum of 6 years of relevant experience in programme/project management. Candidates should have substantial experience in administration, finance, and project management, demonstrating their ability to manage complex projects and collaborate effectively with diverse stakeholders. Experience with UNFPA systems and inter-UN coordination is considered an asset, as it indicates familiarity with the organization's operational procedures and collaborative frameworks.
Languages: Fluency in the English language is mandatory for this position. Proficiency in additional languages may be considered an asset, particularly if they are relevant to the regions in which UNFPA operates, enhancing communication with diverse stakeholders and partners.
