Job Overview:
The position of UNESCO Consultant for Administrative and Finance Support is designed to provide essential support to the Education Programme Team within UNESCO's Pacific Office. The consultant will work under the overall authority of the Director of the UNESCO Regional Office for the Pacific States and will report directly to the Education Programme Officer. The primary functions of this role include providing secretarial, administrative, finance, and project implementation support to ensure the effective coordination and execution of education projects. The consultant will be responsible for maintaining organized documentation, managing financial records, and facilitating communication among stakeholders. This role is crucial for the timely delivery of key education initiatives that align with UNESCO's mission to enhance educational opportunities across the Pacific.

Duties and Responsibilities:
The consultant will undertake a variety of duties, including but not limited to:
  • Administrative Support: Maintaining an organized implementation calendar for program activities, assisting with logistical arrangements for meetings and workshops, supporting staff travel arrangements, and managing contact lists and office supplies.
  • Finance Support: Organizing financial documentation, supporting vendor registration processes, assisting with contracting processes, compiling workshop financial acquittals, and coordinating with the Ministry of Education finance sector for timely follow-ups.
  • Project Implementation Support: Coordinating project meetings, managing logistics for events and workshops, assisting with data collection and analysis for project monitoring, and preparing project implementation updates and reports. The consultant's performance will be evaluated based on the accuracy, completeness, and quality of the outputs delivered within the specified timelines.

Required Qualifications:
Candidates must possess a completed High School diploma and/or a Technical diploma in Commerce, accounting, finance, administration, management, or a related field. While extensive professional experience is not required, any practical exposure to office administration, finance, records management, events, or communications will be considered an advantage. The ideal candidate should demonstrate eagerness to learn, reliability, respectfulness, and the ability to follow instructions within a multicultural UN working environment.

Educational Background:
The educational background required for this position includes a completed High School diploma and/or a Technical diploma in relevant fields such as Commerce, accounting, finance, administration, or management. This foundational education is essential for understanding the administrative and financial processes involved in supporting UNESCO's education programs.

Experience:
The position does not require extensive professional experience. However, candidates with internship experience, volunteer work, community service, student leadership roles, part-time work, or any practical exposure to office administration and finance will be viewed favorably. This role is particularly suited for individuals looking to gain experience in a UN environment and develop their professional skills.

Languages:
Proficiency in written and spoken English is mandatory for this position. Knowledge of the Samoan language would be considered an asset, as it may facilitate communication with local stakeholders and enhance the consultant's effectiveness in the role.

Additional Notes:
This consultancy position is structured as a temporary contract for a duration of six months. The consultant will be expected to provide administrative, finance, and project implementation support, with payment made in accordance with UNESCO procedures upon satisfactory completion of deliverables.
