Job Overview:
The Operations Specialist plays a crucial role in ensuring the smooth operation of the Sacramento office by coordinating various operational functions. This position is essential for creating a compliant and efficient environment for staff, clients, and partners. The Operations Specialist serves as the primary point of contact for multiple functional areas, manages reception duties, and provides general administrative support. This role demands a high level of organization, creative problem-solving skills, and the ability to work effectively in a fast-paced, multicultural environment. The Operations Specialist will report directly to the Site Director and will be responsible for a variety of tasks that contribute to the overall success of the office's operations.

Duties and Responsibilities:
The Operations Specialist will have a diverse set of responsibilities, including but not limited to:
  • Safety and security" style="border-bottom: 1px dotted #007bff !important;">Security: Act as the main contact for safety and security matters, manage incident reporting, develop onboarding materials, and organize emergency evacuation exercises.
  • Information Technology: Serve as the primary contact for IT issues, educate staff on IT resources, and coordinate with IT teams to resolve service disruptions.
  • Supply Chain: Manage procurement processes, order supplies, maintain digital and physical files, and coordinate vendor billing with the finance team.
  • Facility Management: Oversee office leases, coordinate repairs, manage workspace allocations, and assist with office events and meetings.
  • General Administrative Duties: Greet clients and visitors, manage communications, complete I-9 verifications, and perform other assigned tasks as needed. This position requires a proactive approach to problem-solving and the ability to manage multiple priorities effectively.

Required Qualifications:
Candidates must possess strong organizational skills and be self-starters with a proven ability to manage diverse priorities under pressure. They should demonstrate excellent problem-solving skills, attention to detail, and the ability to troubleshoot basic IT issues. Strong verbal and written communication skills are essential, along with the capability to work independently and as part of a global team. Proficiency in Microsoft Office Suite is required, and candidates should have a demonstrated ability to work effectively with stakeholders at all levels. The ability to adapt to change in a positive manner is also crucial for success in this role.

Educational Background:
A Bachelor’s degree or equivalent directly related experience is required for this position. This educational background ensures that candidates have the foundational knowledge and skills necessary to perform the duties of the Operations Specialist effectively.

Experience:
The ideal candidate should have at least one year of relevant work experience in office administration, facilities management, procurement, or a related field. This experience will provide the necessary skills and understanding of the operational functions required for the role.
