Job Overview: The Business Support Assistant position within the Management Services Unit of WFP Armenia is crucial due to the increasing operational demands stemming from a high volume of activities, events, and procurement actions. The role is designed to support the team in managing various administrative processes, including travel arrangements, system transactions, supplier coordination, asset and inventory management, and logistical arrangements for meetings and workshops. Given the frequent and intensive travel schedules and the growing procurement needs, the Business Support Assistant will play a vital role in ensuring timely processing of requests, compliance with WFP procedures, and maintaining quality service. This position is particularly important as the unit prepares for significant events such as COP 17 and the upcoming SF International Conference in September 2027, which will require extensive coordination and administrative support. Duties and Responsibilities: The Business Support Assistant will be responsible for a variety of tasks under the overall strategic guidance of the Finance Officer and direct supervision of the Senior Management Services Associate. Key responsibilities include processing administrative transactions in WFP and maintaining accurate records, supporting minor procurement actions such as RFQs and vendor documentation, communicating with suppliers to confirm orders and resolve issues, and assisting in catering and logistics for in-house meetings and workshops. Additionally, the assistant will manage office assets and stationery, including tagging, inventory checks, and stock replenishment, and will support the disposal of written-off inventory. General administrative support tasks such as filing, correspondence, and reception backup will also be part of the role. The assistant will coordinate the cleaning and upkeep of storage areas and assist in fleet management by preparing vehicle reports and maintaining records. Ensuring compliance with WFP procedures and timely service delivery will be critical, along with performing other related duties as required.
Required Qualifications: Candidates must have completed secondary school education, with a post-secondary certificate in a related functional area being desirable.
