Job Overview: The Associate Administrative Officer will play a crucial role in providing administrative and operational support to various departments, including the Counter-Terrorism Committee Executive Directorate (CTED), the Department of Peace Operations (DPO), the Department of Political and Peacebuilding Affairs (DPPA), the Office of Counter-Terrorism (OCT), the Office of Disarmament Affairs (ODA), and selected Special Political Missions. The incumbent will report directly to the Finance Team Lead and will be responsible for managing human resources, budget and finance, and general administrative tasks. This position requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders to ensure that administrative functions are carried out efficiently and effectively. The role also involves analyzing data and trends to support decision-making processes and improve operational outcomes.
Duties and Responsibilities: The Associate Administrative Officer will be responsible for a wide range of duties, including but not limited to: acting as the focal point for post management for client entities, providing information on staffing needs, supporting the Team Lead in managing financial resources, analyzing cash positions, preparing financial performance reports, assisting in developing the Unit's work program and budget, monitoring budget/work program, reallocating resources as necessary, supervising support staff, performing operational travel program duties, monitoring accounts and payments to vendors, coordinating activities related to the Statement of Internal Control, and collecting and analyzing data to provide insights through data visualization methods. The incumbent will also be expected to develop data models and analytical dashboards to facilitate data-driven planning and reporting.
Required Qualifications: Candidates must possess a strong understanding of administrative, budgetary, financial, and human resources policies and procedures. They should demonstrate the ability to apply various United Nations administrative rules and regulations in work situations, possess conceptual analytical and evaluative skills for independent research and analysis, and show a commitment to professional integrity and efficiency. The ideal candidate will be able to identify issues, formulate opinions, and make recommendations while demonstrating persistence in overcoming challenges. A strong sense of responsibility for incorporating gender perspectives and ensuring equal participation of women and men in all areas of work is essential.
Educational Background: A first-level university degree in business or public administration, finance, or a related field is required. Successful completion of both degree and non-degree programs in data analytics, business analytics, or data science programs is considered an advantage. Additionally, passing the United Nations Young Professionals Programme Examination (YPP), United Nations National Competitive Recruitment Examination (NCRE), or the General Service to Professional Examination (G to P) is desirable.
Experience: Candidates must have a minimum of two years of progressively responsible experience in administration, finance, accounting, or a related area. At least one year of experience in data analytics and building data models is required, along with experience in developing data models and analytical dashboards through data visualization tools. Familiarity with interpreting and managing master data across funds, grants, and project structures is desirable. Proficiency in Microsoft Power Query Editor, Power BI, Advanced Excel, and PowerPoint is also preferred.
Languages: English and French are the working languages of the United Nations Secretariat. For this position, proficiency in English is required, with a minimum level of UN Level III in reading, writing, listening, and speaking. French is considered desirable, with a minimum level of UN Level I in reading, writing, listening, and speaking.
